Sending generated reports automatically through Scheduled Reports
With this release, we have introduced a new feature called “Scheduled Reports” which is accessible via the Reports and analytics module. With this feature now it is possible to schedule the reports to run on a regular basis, weekly or monthly, etc. Both PDF and CSV report formats are supported.
This feature will enable HR managers to automate the process of sending key reports containing employee information to senior management.
Since OrangeHRM is GDPR Compliant, the Admin user can give appropriate permissions by creating a custom authorized user to access, create, update and delete the schedule reports section. Within the user roles area of OrangeHRM, we have introduced a new section specifically for scheduled reports to facilitate this.
By navigating to HR administration > Manage User roles > Add user roles it is now possible to create and give permissions to required users.
On this screen, you can specify the Scheduled report name, the frequency at which reports are to be sent, , the relevant timezone, the specific report must be selected from the dropdown, and the start date and time for the report can be defined.
Next, you can set the report format, and select the option to either email to Single/Multiple recipients or the option to upload it to an FTP location, completing the required FTP connection information and saving it. When scheduling the reports, the following considerations apply:
* The user is able to export a maximum of 1 report(s) per schedule.
* The user is able to export a maximum of 50000 records per schedule.
* Only attachments with a maximum size of 10MB will be supported by the system.
The users will receive success/ failure emails should a schedule fail to run or if the report gets generated but the specified limitations have been exceeded.
Additionally, any actions performed within the scheduled reports section will now be tracked under the audit trail.
By navigating to HR Administration > Audit trail and filtering by ‘Reports and Analytics’ in the Module section, the user must then select the preferred dropdown option from the ‘Section’ field in order to view the audit records for the scheduled reports.
