The Onboarding module is already available from OrangeHRM as a separately licensed module. The following new functionality is available to all clients who have licensed this module.
With this new version, the Onboarding module has been renamed to ‘On/offboarding to more accurately reflect the feature capabilities within the module. This name change has also been applied to other header names, report names, and subheadings where appropriate.
New "Onboarding Dashboard" Report
With this new version, HR can instantly view the overall progress of the Onboarding or Off-boarding tasks at a glance. A number of viewing options are possible with this Dashboard report. You may also now quickly and easily switch between statuses to see the overall stats relating to task completion. Two additional graphical charts are now available to represent the following options in the dashboard.
- View the completed and uncompleted tasks by the employee
- View the completed and uncompleted tasks by event
It displays the data in graphical representation as shown below.
This new report can be accessed via Reports and Analytics → On/offboarding → On/offboarding Dashboard. With this dashboard report, you can view Completed, Incomplete, and Overdue tasks. Also, there is the ability to further drill down to view additional specifics if required as per the following screenshot.
Ability to activate the Onboarding process when Reactivating a terminated employee
Now you have the ability to select the Off Boarding template, Due Date, and Owners when terminating an employee.
Additionally, when reactivating a terminated employee, you have the ability to activate the Onboarding process within the same screen as follows. You can choose a Template, Due Date, and Owners here also.
On/offboarding tasks/events are now reflected in the My Actions widget in the dashboard showing the user's pending action tasks
Users can now quickly see their pending On/offboarding action tasks in the dashboard under the ‘My Actions’ widget. This feature allows users to view the pending items they need to work on and the status of the tasks can also be viewed by clicking on each action item and navigating to the relevant screens.
Ability to classify tasks as On/offboarding during the creation
When adding new Task Type Details, you can choose the Task Types options as Onboarding, Offboarding, and Other. You can access the Task Types list and add new Task Types under On/offboarding → Task Types. If there is a task specific to onboarding, you can select the relevant template and if a task falls under offboarding, you can choose that exact template. There may be tasks that do not fall under the on/offboarding process Ex: renewal of policies etc. For those, you can select the Other’ option from the dropdown list.
When you are creating Employee Tasks, the Task Types you have added will be displayed.
When creating events, based on whether they are On or off-boarding, only respective task types will be listed
When you are adding a new Event under On/offboarding → Events, you are given the option to choose the Event Type. Once you choose either Onboarding or Offboarding, only the Tasks that are relevant to that Task Type will be displayed below the form.
Ability to create other types of Events/Tasks in addition to Onboarding or Offboarding
Other than the Onboarding and Offboarding Task Types, the ‘Other’ Task Type option is also available. When selecting the ‘Other’ task type option during event creation, the Tasks that fall under the ‘Other’ Task Type are displayed in the Event adding form.
Ability to add new tasks from the already activated event
With this new release, it is possible to add new tasks to an already-activated event. To do this, navigate to On/offboarding → Events and you can see the list of events that are already present in the system. To add new tasks to an already active event, open the event, and an option to ‘ADD NEW TASKS’ is available at the bottom of the page.
Improvements to the Employee Task Report
Employee Task Report columns are now categorized into four sections for further clarity. Under these sections, the following new fields are added:
- Task Details
- Is Overdue
- Task Owner’s Details
- Task Owner
- Owners Employee ID
- Event Details
- Event Owners
- Participant Details
- Employee ID
