Creating a proper appraisal form and assigning evaluators is important but at the same time, it is also important for evaluators to evaluate the created appraisal form and provide unbiased feedback along with ratings. Once feedback and ratings are provided by the evaluators, the employees can identify their actual performance. This should help them to further enhance their performance or take necessary corrective actions to completely uplift their performance to a much better position.
A company may be able to create appraisals, assign evaluators for the appraisal, and evaluate as well. However, the problem arises when users cannot evaluate multiple employees due to limitations with their existing system. However, with OrangeHRM, users can now evaluate multiple employees with ease. The appraisals are created and activated and employees who are added as reviewers can evaluate the appraisal forms.
Go to Performance -> Appraisals -> Appraisal List.
How to evaluate the employee appraisals
Step 1 – Click the icon beside the appraisal that needs to be reviewed. The following image is displayed.
Step 2 – Rate the competencies and Goals using the rating bar. The scale goes from 0 to 5 with 0.5 intervals. Also, the user can add comments to the questions that are listed in the appraisal under the question section and click 'Save'.
Step 3 – Upon saving the answer the user can resume the ratings by clicking save. When all the competencies and goals are rated, click 'Submit'. Once submitted, the form is not editable for the reviewer.
Optional: The user can view the actions performed for an appraisal under the 'Appraisal History' section which is displayed at the bottom of the review.
Switch Appraisal
This feature allows the user to directly access another employee's appraisal while reviewing the appraisal of a different employee. This feature eliminates the need to go back and forth to the appraisal list in order to review multiple employee appraisals.
Step 4 - The main Evaluator and admin can view the appraisal forms of all reviewers on one screen. The user can go to the multiple view section by clicking the employee name from the appraisal list or by clicking the 'Multiple View' icon in the top right-hand corner of the appraisal.
Step 5 – Upon clicking 'Multiple View' the following screen is displayed.
Step 6 – To switch back to Single View, click the green button for each reviewer’s name and select 'Read' from the drop-down.
Edit Form Navigation
While reviewing the appraisal, it's now easy to access the appraisal form design for any necessary adjustments. The navigation has been enhanced in the latest update, allowing for seamless switching between screens. To access the form design, just click on the form design icon provided.
Enable Attachments
If the attachment section is enabled, the reviewers can upload attachments for the appraisals. Please refer to the following article to enable the attachment section.
In the same section, it is possible to add more than one attachment for the appraisal with the “ + Add Attachment” option.
The attachment section is not available when the user navigates to the multiple views of an appraisal. If an attachment is available, it is shown with an attachment sign beside the reviewer who has uploaded the attachment.
If any feedback or comments have been given by the evaluators in the performance appraisal multiple views, the comment bubble/link in the multiple views of the appraisal clearly distinguishes empty comments from filled comments. The user/reviewer does not have to click each to see if a comment is available or not.
Once the user downloads the appraisal, if there are any added attachments, these are shown under the “Attachment” section as follows.
Visibility of Goal Weight Information
HR Admins can the assigned weights to competencies, goals, and sections be visible or not, In the appraisal form design screen we can enable or disable displaying the weight by clicking the ‘Show Section and Rated Item Weights on Appraisal’ enable button.
Reject a review
The main evaluator can reject a submitted review. The HR Admin can reject the main evaluator review. When rejected, the form will again become editable.
The reject button is available for the main evaluator in each single review form once it is submitted.
HR admin and the main evaluator can use multiple views to reject the main evaluator review as shown below.
Completing the Appraisal
The main evaluator finalizes the review. They will look at the other reviews and approve/Reject them as required. Once all the reviews are approved. The main evaluator then gives his/her own rating which will be considered as the final rating as per the above image.
Step 6 - After each evaluator has submitted their review the main evaluator and the employee who is being assessed can download the review by clicking the "Print" button available on the above screen. "Print" is displayed once the user submits their review. Upon clicking the 'Print' button the following screen is displayed:
