A company may have a fully functional system to track down and record everything thing related to the company and its employees. However, it may face difficulties in uploading data relating to attendance. On most occasions, companies might not be able to upload all the data relating to a specific period at once through their systems. For example, a system may not allow the user to upload a week's attendance date at once instead the system only allows the user to upload dates one by one for each day of the week.
With OrangeHRM an HR professional need not worry about such things as the system can easily upload attendance data without any trouble at all. This feature allows HR Admins to upload attendance data into the OrangeHRM system as preferred. Also, the user can upload the attendance data via a biometric device as well. However, the file format needs to be a CSV (a sample is available to download), having the following naming scheme:
To access this feature go to Attendance >More >Data upload. The 'Attendance Data Upload' screen is displayed below.
Step 1: Click the 'Download' (The button next to the 'Sample CSV File') option mentioned in the above screen. By doing so, the user can enter the attendance date according to the required format.
Column | Description |
Employee ID | Add the Employee ID in column A. |
Employee Name | Add the Employee's First name in column B. |
Subunit | Add the Employee's Subunit in column C. |
Punch In Time | Add the Employee's punch-in time in column D. (The time format should be HH:MM:SS) |
Punch Out Time | Add the Employee's punch-out time in column E. (The time format should be HH:MM:SS) |
Date | Add the Employee's attendance record date column F. |
Step 2: Click the 'Select File' button. Upon clicking this button upload the CSV attendance data file.
Note: The file processing task needs to be set once a day/week. Please contact support to set up the frequency. Also, the system is only capable of uploading a CSV file with a file size of 2 MB.
