As an Admin/Supervisor/HOD user, you can assign claims for your employees based on their requirements. In situations where an employee is traveling for a project purpose and they are in needs to apply for a claim, This action can be performed by the Admin/Supervisor/HOD on behalf of the employee.
The Admin can assign claims for their employees based on;
- Approved Travel Requests
- Projects
- General
To assign claims for employees, Select, Travel and Expense > Employee Claims
Step 1 - Click the ‘Add’ button on the screen to assign expense claims for employees.
Step 2 – Select the employee and the Local Currency.
Step 3 – Select the Basis of the Claim. If the basis of the claim is selected as 'Approved Travel Request' or 'Project', then select the Travel Request ID or Project name respectively from the drop-down list. The summary section displays the summarization of the expenses paid by the employee. Click the Add button and add the expense details.
Step 4 - If there are any attachments to be added to the particular claim, Click the “Add” icon, select the attachment, and click on the “Upload” button.
Step 5 – If the basis is selected as Approved Travel Requests, it will show the requested expenses and will allow us to submit actual expenses against them. (See figure below)
Step 6 – Click the Add button in the Expense Details section to add Actual Expenses. This will prompt the Add Expenses Screen.
Listed below are the multiple templates of expenses with their respective information fields.
Step 7 – Select the Expense Type. The form generated will be different for each Expense type selected.
Step 8 – Fill out the form based on the required fields and click Save. By doing so the Add Claim Screen will be updated with the relevant information. (See figure below)
Step 9 – Once all the expenses are added, click Assign. Upon clicking the assign, the admin user can mark the claim request as paid by clicking "Mark as Paid". The created claim request will be assigned to that employee and it will be shown under his/her 'My Claims' section.
