Asset tracking is an essential part of workplace management which enables the user to manage their company assets and inventory into one complete, cost-effective, and easy-to-use application that can be applied to any company irrespective of what industry or sector the company belongs to.
The robust OrangeHRM Asset Tracker includes integrated Inventory Management and Preventive Maintenance features for a complete solution that helps you maximize your return on assets.
The Admin can define and manage different brands, categories, and vendors of assets in stock.
To access this feature go to Employee Management -> More -> Assets -> View Assets. The Assets screen is displayed as follows.
Add Assets
Step 1 - Click the ‘Add button’ button which is placed in the top right-hand corner. The ‘Assets Details’ screen is displayed as follows
Step 2: Complete the following fields

Asset ID |
Asset ID is generated automatically. The user can change the Asset ID if required. |
Serial Number |
Each product has a unique serial number attached to it. This number needs to be entered. |
Brand |
The particular brand of the asset. |
Employee ID |
Employee ID is generated automatically. The user can change the Employee ID if required. |
Vendor |
A company or a dealer providing the asset. For example, If a company purchases a Laptop from the Asus official store then the vendor is Asus. |
Category |
The asset can be categorized under many predefined categories. For example, a Mobile Phone can be categorized as a smartphone. |
Location |
The location at which the asset can be located. |
Acquired |
The date when the product was purchased. |
Warranty Starts |
The warranty start date of the asset. |
Warranty Ends |
The warranty end date of the asset. |
Description |
Any additional detail relating to the asset can be mentioned in this field. |
Step 3 – Click ‘Save’ after filling in the above fields.
Change the status of Assets
The admin user can change and assign assets while editing (this can be done if the ‘Status’ of the asset appears as “In-Stock”). Employees can view both assigned & unassigned assets. Furthermore, the ‘status’ of the asset can be changed to other statuses such as ‘Mark Stolen’, ‘Decommissioned’, ‘Return’, and ‘Update Assignment’ from the dropdown.
Step 1 – The user can click on the asset's ‘Asset ID’ or the ‘Serial Number’ and assign it to an employee.
Step 2 – Click the arrow to select the ‘Employee’ to assign, then fill in the date when the asset will be assigned via the ‘From’ field and click ‘Confirm.’ The same steps can be used when the employee is returning the Asset. You can also change to another status in the list.
Configure the Asset List view
It is possible to customize the Asset List View with whatever fields the user requires.
Step 1 - Click the option
(located at the top left hand of the asset list) and select ‘Configure’. Assets List Configuration Screen will appear.
Step 2 – Select the required fields and click ‘Save’. You can make the configuration applicable for Admins and Supervisors by selecting the “Apply for Supervisors and Admins” Checkbox.
Filter/Search/Export Asset List
Step 1 – Click the button on the top right corner of the Asset List screen. The ‘Filter Assets’ screen is displayed as follows.
Step 2 – Use the available fields to narrow down your search.
Step 3 – Click ‘Search.’
Step 4 – Click the ‘Export’ button to export the ‘Filtered assets’ list.
