The Leave Alert notification feature allows HR to send an email notification to employees or group of employees which states the employees who are going to be on leave for a specific duration of time.
To access this page, please visit Leave --> Configure --> Notifications.
As an example, if the HR manager needs to send an email by including the details of who are the employees on leave in today and tomorrow in Dallas and send that to the accounts managers in Texas.
The user sets the notification name as "Employees leave on next two days" and 'Send on" day as "Monday" with adding 2 days as 'Leave next days'. The mail subject is sets as "Details of the employees on leave for the next two days"
After that user needs to set which employee details that need to be sent. So, from the "Include Leave of Employees" if the user selects 'Job Title' as "All", 'Location' as "Dallas" and 'Subunit' as "All".
And from the "Sent to Employees with" section, the user select the 'Job title' as "Accounts" and 'Location' as "Texas" and 'Subunit' as "All",
The employees who are having the job title as "Account" in texas will receive an email on Monday with including the who are the employees on leave for today and tomorrow in the Dallas office with their leave types.
Step 1 - Click add notification and fill the information
The Notification(s) can be configured to define who should receive leave information based on Sub Unit, Location or the Job Title. This email notification can be set to be sent daily or weekly.
|Notification Name||Name of the notification which needs to be added. Ex: Employees leave on next two days|
How often the notification should be sent. Ex: Each day, Monday
|Leave for next||Set how many days of leave Ex: 2 days|
|Mail Subject||Set the email subject name Ex: Details of the employees on leave for the next two days|
|Include Leave Type||-|
|Send to Employees with||Set only the employees with the following job title, subunit or Location|
|Job Title||The email notification sent only to the employees with the selected job title.|
|Sub Unit||The email notification sent only to the employees with the selected subunit.|
|Location||The email notification sent only to the employees with the selected location.|
|Include Leave of Employees with||Include the employees who are on leave for selected job title, subunit or Location|
|Job Title||Include the employees who have this job title.|
|Sub Unit||Include the employees who have this Subunit.|
|Location||Include the employees who have this Location.|
Upon filling the above form and click save, displays the following message in a pop-up window.
Note: The leave event can be intergrated with Outlook or Gmail calendar. This will need to be enabled by a technical support engineer. Please contact your consultant for further information.
