In an organization, there are supervisors and they will have subordinates under them who report to them. At times these working hierarchies may need to be changed due to various reasons. The OrangeHRM platform allows you to cope with these changes by adding or removing supervisors and subordinated at any given time.
A supervisor role is given to an employee who has one or many employees reporting to him/her. A subordinate is an employee who reports to a supervisor.
Assigning a Supervisor for an Employee
Log in to the OrangeHRM system as an admin. Then go to "Employee List" (PIM > Employee List) and select the employee who you want to assign a supervisor for. You can either select the employee from the list of employees or use the search option.
Click on the name of the employee to go into the employee's profile. Once you are there click on "More" dropdown on the top right of the screen and select "Report-to" as shown below
In this section, you will be able to see the list of assigned supervisors and subordinates along with the reporting method as shown in the screenshot below.
To assign a supervisor, hover on the button on the top right of the screen. Once you do, you will have the option to either add a supervisor or a subordinate. To add a supervisor, select the "Add Supervisor" button as shown below.
Then an employee can be selected by typing the name of the employee or the employee ID. After selecting the employee as a supervisor, then select the reporting method. By default, the reporting method options would be "Direct" and "Indirect".
Once the supervisors and reporting method is selected, click on the "SAVE" button, or else you can click on the "CANCEL" button in order to close the window and cancel the process.
Now you will be able to see the supervisor you just assigned for this employee along with the "Reporting Method" you selected, under "Assigned Supervisors".
Removing a Supervisor from an Employee
To remove a supervisor who is assigned to an employee, you need to login to OrangeHRM as an admin and then navigate to the employee's profile "PIM" > "Employee List". Once you're in the employee's profile you should select "More" > "Report-to" then below screen will appear.
To remove a supervisor from the list of assigned supervisors, click on the checkbox next to the supervisor's name, and then click on the icon, then you will have the option to delete the selected supervisor.
Once clicked on, the supervisor selected will be removed from the employee's list of supervisors. You will be prompted with a deletion confirmation before the system removes the supervisor.
Assigning a Subordinate for a Supervisor
Log in to the OrangeHRM system as an admin. Then go to "Employee List" (PIM > Employee List) and select the employee who you want to assign a supervisor for. You can either select the employee from the list of employees or use the search option.
Click on the name of the employee to go into the employee's profile. Then click on "More" dropdown on the top right of the screen and select "Report-to"
In this section, you will be able to see the list of assigned supervisors and subordinates along with the reporting method as shown in the screenshot below.
To assign an employee as a subordinate, hover on the button on the top right of the screen. Once you do, you will have the option to either add a supervisor or a subordinate. To add a subordinate, select the "Add Subordinate" button as shown below.
Then you can select for an employee by typing the name of the employee or the employee ID. After selecting the employee as a subordinate, you can then select the reporting method. By default, the reporting method options would be "Direct" and "Indirect".
After you have selected click on the "SAVE" button to assign this employee with the selected employee as a subordinate. Or else you can click on the "CANCEL" button in order to close the window and cancel the process.
Once you're done, you will be able to see the subordinate you just assigned for this employee along with the "Reporting Method" you selected, under "Assigned Subordinates".
Removing a Subordinate from a Supervisor
To remove a subordinate who is assigned to an employee, you need to login to OrangeHRM as an admin and then navigate to the employee's profile "PIM" > "Employee List". Once you're in the employee's profile you should select "More" > "Report-to" and then you will come across a screen as shown below.
To remove a subordinate from the list of assigned subordinates, click on the checkbox next to the subordinate’s name, and then click on the icon, then you will have the option to delete the selected subordinate.
Once clicked on, the subordinate selected will be removed from the employee's list of subordinates. You will be prompted with a deletion confirmation before the system removes the subordinate.
