Introduction
This guide is designed to help ESS understand the OrangeHRM On/Offboarding module. This module streamlines the employee lifecycle from onboarding new hires to offboarding departing employees, ensuring organizational efficiency and compliance. The guide includes step-by-step instructions with images to assist in managing events and tasks.
This user guide is intended for ESS in the Organization. It covers the following modules:

Login
To begin using the On/Offboarding module, log into your OrangeHRM account.
Step 1:Enter the OrangeHRM URL address in the browser. The OrangeHRM Login page appears as below:

Step 2 - In the login panel, enter the username and password and click ‘Login’. ( If you have single sign-on enabled then you can use the SSO to log in to the system.)
On/Offboarding Module
1. How to action my tasks
The My Tasks section in OrangeHRM streamlines the management of assigned tasks related to onboarding or offboarding, such as submitting documents or attending training sessions. When a task is assigned, the system sends a notification prompting the user to log in and complete it.
Tasks can be accessed in three ways:
- From the dashboard via the My Action Widget.
- Using the task notification link in the email.
- Through the On/Offboarding > My Tasks module.
Step 1 - Go to On/Offboarding -> My Tasks to view the tasks that have been assigned to you by the HR admin.

Step 2: You can filter the events using the following search fields:

Field | Description |
Task Name | Search by task name. |
Event | Search by associated event. |
Due date From/to | Specify the range for due dates. |
Employee | Search by the employee associated with the task. |
Task status | Filter by status (Complete, Incomplete, On Hold). |
Archive | Search for archived tasks (Only Archived or include both archived and non-archived tasks). |
overdue | Filter to show tasks that are overdue. |

2. How to Edit My Task Information
Step 1: Click the My Task to open the task details. The Edit Task Information screen will appear. Click the 'Edit' button to modify the task information.

Step 2: You can add comments in the “Comment” field and select the appropriate status for the task from the “Status” dropdown menu. This allows you to provide additional context for the task and update its progress accordingly. Once you’ve made the necessary changes, click 'Save'.

Step 3: If you are supposed to upload the necessary supporting document, Click the "Add" icon to upload attachments.

Step 4: Click the ‘ATTACH’ button to browse and select the file. After choosing the file, write a brief description in the provided field. Once finished, click the ‘Upload’ button to finalize the process.

3. How to action My Events information
The My Events tab shows the events that you have been assigned as the event owner. This tab provides a quick summary of your responsibilities related to onboarding and offboarding processes, helping you stay organized and informed about upcoming events and important deadlines.
Step 1: Go to the My Events tab to view and manage events.

Step 2 - Click the filter icon to set up the filter to get the required set of events.

Event Name | Search by event name. |
Location | Select by the event's location. |
Due date From/to | Search events based on their due date range. |
Status | Select by event status (e.g., Activated, Created). |
Archive | Search by archive status. ( Only Archived, With Archive, Without Archive ) |

4. How to Edit My Event Details
Step 1: Click the My Events to open the task details. The My Event Details screen will appear. Click the 'Edit' button to modify the task information.

Step 2: In the edit screen, if you want to add more tasks to the event select the task types as shown below and click “Save”.

5. How to View Employee Tasks
This section shows the employee tasks that you have been assigned as the event owner to the onboarding and offboarding events. You can view tasks such as document submission or training sessions.
Step 1: Navigate to the View Employee Tasks tab.

Step 2: You can filter the events using the following search fields:

Task status | Choose between complete, incomplete, or on hold |
Overdue | Search by overdue tasks |

Due Date From/To | Filter tasks by their due date range |

After applying the desired filters, you can export the filtered task list. If you want to download the list click the "Export to CSV" button.
6. How to Edit Employee Task Information
Step 1: Click the View Employee Task to open the task details. The Edit Employee Task Information screen will appear. Click the 'Edit' button to modify the task information.

Step 2: In the Edit Employee Task Information screen, you can modify the following fields:

Field Name | Description |
Task Owner | Assign or change the owner of the task. |
Due Date | Set or update the deadline for the task. |
Effective Date | Specify when the task should take effect. |
Priority | Select the priority (Low, Medium, High) |
Notify Before | Set notifications to alert before the due date. |
Notify After | Set notifications to alert after the due date. |
Comment | Add any relevant comments regarding the task. |

Step 3: Once you’ve filled in the necessary information, click “Save” to apply your changes.
Step 4: Click the "Add" icon to upload attachments on behalf of the employee.

7. How to Bulk Update Employee Tasks
Step 1: To Bulk Update, click the three dots in the upper left corner of the event list.

Step 2: Bulk Updates are available for managing events, specifically to update the task owner, Priority, Action, Due Date, and Effective Date in Bulk.
