OrangeHRM gives you the ability to access your Employee Attendance records via the OrangeHRM mobile application. As an Admin or a Supervisor user, you can quickly access and perform actions over your employee attendance records (if the module is licensed).
The following are the key Attendance features that are available in the new mobile application:
- View employee attendance Records
- Show the pay hour breakdown (if enabled)
- Perform actions over employee attendance records
From your mobile device, open the OrangeHRM Advanced mobile application and select the 'Attendance' module from the navigation panel on the left-hand side.
Step 1: Next, select "Employee Attendance".
You can see the employee attendance records for the selected date period. By default, the application shows the employee attendance data for the current week. If you want to search for attendance records for a past period, you can simply switch the weeks by using the date period field.
Step 2: To switch between the attendance date periods click the "< " & ">" arrows as shown below:
In the employee attendance screen, information relating to the employee name and the total number of hours that they have worked for the selected date period is captured.
Filter Employee Attendance Records
If you wish to search for a particular employee’s attendance details you can simply click the 'Filter' icon and enter the employee's name here.
Step 3: Enter the employee name and click 'Search'. If you wish to set these filters as default, enable the "Set as Default Filter" option and click 'Save'.
When you select an employee, the application will direct you to the attendance summary of that selected employee. The following screen displays:
- Employee Profile Picture
- Employee name (First name, Middle name & Last name)
- Job Title
- Total Work Duration (Total punched in time for the selected week)
- Total Leave Duration (Total Leave duration for the selected week. This will be shown when there is utilized leave during the selected week)
Step 4: Select the "Attendance Details" screen to view the information in detail.
By clicking the Attendance details you will see the detailed view of the punch in and out record information for individual days by switching days in the attendance details screen.
If an employee has applied for Leave and that Leave falls within that period, this will also be reflected in the attendance summary screen and also in the attendance details screen.
If pay policies are enabled, once the admin or the supervisor checks the employee attendance screen, information relating to the employee name and the total number of hours that they have worked for the selected date period is captured (based on the pay policy that the admin has set up). Also, the status of the attendance sheet is shown.
When you select an employee, the application will direct you to the attendance summary of that selected employee. Under the pay policy section, you can view the total number of hours worked based on the pay policy that the selected employee is assigned to.
Step 5: Select the "Attendance Details" screen to view the information in detail.
Upon tapping on a specific date, attendance details (Daily Attendance Summary and Timeline) corresponding to the date should be displayed in the sections underneath.
Step 6: To approve the attendance sheet, click 'Approve.'
It is also now possible to bulk approve the employee attendance sheets that have been submitted. The application displays the “thumbs up” indicator at the top after selecting several employee records allowing you to click as required in order to action multiple attendance sheets in a single step.
The employee's time duration accounted for each daily pay rule category is displayed in the pay Policy section. Pay Policy duration breakdown section shall not be displayed under the following circumstances:
- When the employee being viewed has not been included in a pay policy
- When the user is connected to an instance prior to version 7.0.2
- When the Pay Policy has been disabled in the instance
