Scheduled notifications are designed to be sent at predefined intervals or specific times, ensuring that important tasks and follow-ups are not overlooked. These notifications help keep stakeholders informed and prompt timely action where required.
Scheduled notifications are configured to run based on a set schedule (e.g., daily, weekly, or at a specific time).
For example, Leave Approval Reminder – Summary notification can be configured to send a periodic summary to designated subscribers, highlighting pending leave requests that require approval. This helps ensure that leave requests are reviewed and acted upon promptly, reducing delays and improving workflow efficiency.
Scheduled Notifications
“Scheduled-based” notifications allow users to subscribe to a scheduled update relating to data changes in the PIM module. The following email notifications can be seen under "Scheduled Based" notifications.

| Bradford Factor Threshold | Leave | The subscriber/s will be notified when an employee’s Bradford Factor reaches or exceeds a defined threshold, so that appropriate attendance-related actions can be taken. |
| Buzz Recent Posts | Employee Management | The subscriber/s will be notified about recent Buzz posts based on the configured schedule (daily, weekly, or on a specific trigger day), so that they can stay updated and engage with internal communications. |
| Online Assessment Courses - Course Examination Results Notification | Training | The subscriber/s will be notified when an employee completes a course and examination results are available, so that results can be reviewed and necessary follow-up actions can be taken. |
| Employee Welcome Email | Onboarding | The subscriber/s will be notified when a new employee joins the organization, while the employee also receives a welcome email, so that onboarding and engagement activities can be initiated. |

To access the Email notifications, go to HR Administration → Configuration → Email Notifications. The E-mail notifications screen will be displayed as follows:
Step 1 – Click on the "Scheduled" Tab in the Email Notification Screen.
Step 2 – The user must click the notification type that/they wish to subscribe to
Step 3 - Click the "+" button on the subscriber list Screen. The following screen is displayed:
Step 4 – Complete the following fields.

| Employees | Add Subscribers by employee name. |
| Admin Roles | Add Subscribers by Admin user roles. |
| Supervisor Roles | Add Subscribers by Supervisor user roles. |
| ESS Roles | Add Subscribers by ESS user roles. |
| Email Addresses | Add an additional email address to send the notification to. This option needs to be enabled by clicking the checkbox. |
| Subscription Settings | If the e-mail notification should be added to the ‘To’ section or the ‘CC’ section of the Original email. |
| Schedule | How often should the update be sent, whether Daily/Weekly? |
| Template | Select the email template for the subscriber. |
Step 5 – Click "Save." The subscribers are added to the subscriber list.
