Attendance management is a critical HR function, and it is essential to plan attendance to have control over employees’ time to minimize employee downtime in the organization. Attendance management has evolved from traditional manual register entry to modern-day tools like punching machines and biometric identification. The attendance information is collected and stored in the database, which can be used to generate employee payroll. But if the same tools are integrated with the HRMS system, it enhances the capability of the organization to manage attendance and increase productivity.
When an employee joins during an active pay period, their Attendance Sheet now reflects an Effective Window that starts on their join date. Dates before the join date fall outside this window and are omitted from the sheet, so new hires only see the days they were actually employed.
Step 1 - Go to Attendance → Attendance Sheets
When a previously terminated employee is reactivated, the system creates a new Attendance Sheet with its own Effective Window starting from the reactivation date, rather than resuming the original sheet. This results in a disjoint Effective Window — a gap between the termination date and the reactivation date is not treated as attendance-eligible time.
Step 2 - Filter employee attendance sheets
| Filter | Description |
| Pay Policy | Filter employee attendance sheets by selecting a specific pay policy |
| Pay period | Filter based on the Pay period |
| Employee Name | Filter Employee Attendance sheets for a specific employee |
| Subunit | Filter Employee Attendance sheets based on a specific subunit |
| Location | Filter Employee Attendance sheets based on a specific Location |
| Job Title | Filter Employee Attendance sheets based on a Job title |
| Employment Status | Filter Employee Attendance sheets based on an Employment Status |
| Supervisor Name | Filter Employee Attendance sheets for a specific supervisor |
| Include | Filter Employee Attendance based on current, past, or current & past employees |
Upon selecting the suitable filters, the system automatically shows the results below. You can download the information in PDF and CSV formats.
Step 3 - Click the Maximize icon. By clicking this "maximize" icon, you can see the employee attendance details on a full-size screen.
HR admins can now view the employee effective window within the attendance sheet
Note: This affects related reports and widgets; see the Attendance Hours Report, Attendance Summary/Overview Reports, and Time at Work widget articles for how each is clipped to the Effective Window.
Clicking into any individual employee's timesheet in the system will take you to that specific employee's timesheet, where you can see the detailed version of the attendance details.
