Organizations collect many kinds of information about employees, such as contact details or bank details for salary payments. A company may also need extra details, such as blood type, a marriage date or an internal badge number. OrangeHRM lets you create custom fields so you can capture this extra information on any screen of the Employee Management module.
To add custom fields, you first create a section. A section holds one or more custom fields and is shown on the employee screen you choose. You can also mark a Text, Number or Email custom field as Unique, so that the same value cannot be given to more than one employee. This is useful for identifiers such as badge numbers, device IDs or tax numbers.
Step 1 - Go to Employee Management > More > Configuration > Custom Fields Section. The Custom Field Sections screen opens.
Step 2 - Click Add at the top right of the screen. The Add Custom Field Section window opens.
Step 3 - Enter a title for the section in the Heading field.
Step 4 - Select the employee screen the section should appear on from the Screen dropdown, for example Contact Details, Dependents or Emergency Contacts.
Step 5 - Click Save. The new section appears in the list.
| Field | Description |
| Heading | Title for the new section. |
| Screen | Select the screen to which the heading should be linked. Some of the screen options in the drop-down are shown below:

Add custom fields to a section
Step 1 - Click Add Custom Fields on the section you created. The Add Custom Field window opens.
Step 2 - Enter a name for the field in the Field Name field.
Step 3 - Select the field type from the Type dropdown.
Step 4 - Select the Required checkbox if employees must fill in this field.
Step 5 - Select the Unique checkbox if no two employees may have the same value in this field (new). This checkbox can be selected only when the type is Text, Number or Email.
Step 6 - Choose who the field is available for in Available: all employees, or employees in specific locations.
Step 7 - Select the Conditional Field checkbox if the field should be available only when another field in the same section has a particular value.
Step 8 - Click Save. The field appears in the section's list of custom fields.
Note: In the Other Job Details section you can add Advance Type custom fields, which let you include fields such as Job Title or Sub Unit.
| Field | Description |
| Field name | Name of the new field |
| Type | The type of the field can be selected as
(By selecting the Type as Attachments, you can upload attachments up to a maximum file size of 5 MB.)
|
| Required | Make the field mandatory by clicking this checkbox. |
| Available | The user can make the field available for all employees or a specific location(s). |
| Conditional Field | Upon enabling this checkbox, fields such as 'Parent Field' and 'Parent Field Value' are made visible to the user. The user can set nested fields by setting a parent field. The availability of the child field will be dependent on the value of the parent field. Conditional Fields is a feature that allows us to enable or disable a custom field based on an answer that is provided in another custom field in the same section, referred to as the parent field. However, in order to use this feature, the parent custom field value type should be a dropdown. In the below example, the parent field is "Blood Group" and the Parent Field Value is "AB". Now according to the configuration, the Custom Field "Family Doctor's Contact Number" will be enabled only if the Blood Group is selected as AB. For other answers, the conditional custom field will not be enabled. |
Step 6 - By clicking the
arrows, the user can sort the order of the custom fields that should be displayed under the personal information of the employee in the PIM module.
Step 7 - If the user needs to edit a "Custom Field", then click the button. Upon clicking the button, the following screen will be shown.
Step 8 - Following that, you may go to the Employee (Employee Management → Select an Employee → More → Personal details) section and the screen where you placed this custom field section. As per this example, we have added this custom section in the "Personal Details".
