Step 01 - Navigate to the "Attendance" module, go to the More section under "Configurations," and then select the "Exception Rule Configuration."
Step 02 - Upon clicking, the following configuration screen will appear. Click the "+ Add Rule" button to create a new Exception Rule.
Step 03 - On the "Add Exception Rule" screen, click the dropdown menu and select a Rule Type from the available options.
Step 04 - Fill in all the required fields in the form to configure the exception rule.
Use the following table as a guide to fill the above fields.
Step 05 - Complete all the required fields and click on the "Save" button.

The rule is configured as follows:
- Rule Type: Late Arrival – This rule monitors for employees who arrive after their scheduled start time.
- Rule Name: Late more than 1 hour – A descriptive name identifying that this rule specifically flags lateness exceeding one hour.
- Allowed Grace Period (Minutes): 60 – The system will only trigger an exception if an employee is late by more than 60 minutes. Arrivals within this 60-minute window will not be flagged.
- Corrective Action(s): Acknowledge – The designated action required when this exception occurs. Here, an authorized user must acknowledge the late arrival record.
- Who Can Perform: Global Admin – Specifies that only users with the Global Admin role are permitted to perform the "Acknowledge" action for exceptions triggered by this rule.
Enable this rule: Checked – This indicates the rule is currently active and the system is actively monitoring for late arrivals over one hour.
Configuring the "Incomplete Attendance Record" Exception Rule

- Grace Period After Shift End (Minutes): 60 – The system will wait 60 minutes after an employee's scheduled shift ends before triggering this exception, allowing for potential late punch-outs.
- Corrective Action(s): When triggered, the following actions are available:
- Edit Attendance Record: Manually add or correct punch times.
- Acknowledge: Simply note and accept the missing record.
- Assign Leave: Assign a leave type (e.g., Unpaid Leave) to cover the absence.
- Who Can Perform: Global Admin and Default Supervisor – Specifies which user roles are authorized to take the corrective actions listed above.
Enable this rule: Unchecked – This indicates the rule is currently inactive, and the system is not monitoring for missing records.
Configuring the "Early Departure" Exception Rule
An HR Administrator wants to configure a rule that automatically flags employees who leave before their scheduled shift end time by more than 15 minutes, so that supervisors can review and address early departures consistently.
The rule is configured as follows:
- Rule Type: Early Departure – This rule monitors employees who punch out earlier than their scheduled shift end time.
- Rule Name: Early Out > 15 minutes – A descriptive name identifying that this rule flags employees leaving more than 15 minutes early.
- Grace Period Before Shift End (Minutes): 15 minutes – The system triggers an exception only if the employee punches out more than 15 minutes before the scheduled shift end time. Punch-outs within the 15-minute window will not be flagged.
- Corrective Action(s): Acknowledge – Authorized users are required to acknowledge the early departure exception.
- Who Can Perform: Default Supervisor – Specifies that users with the Default Supervisor role are permitted to acknowledge the exception.
- Enable this rule: Checked – Indicates that the rule is active and the system is monitoring for early departures.
Note: The Early Departure rule evaluates the punch-out time against the scheduled shift end. The grace period defines an acceptable window (e.g., 15 minutes) within which an early punch-out is not flagged.
Configuring the "Excess Work Duration" Exception Rule
An HR Administrator wants to configure a rule that automatically flags employees whose actual work duration exceeds the organization's maximum allowed working hours within a defined period, helping ensure compliance with company policies and labour regulations.
The rule is configured as follows:
- Rule Type: Excess Work Duration – This rule monitors whether an employee's total worked duration exceeds the configured limit.
- Rule Name: Weekly Max 48 hours – A descriptive name identifying that this rule monitors employees exceeding 48 working hours in a week.
- Maximum Work Duration: 48 hours – Defines the maximum allowed work duration before an exception is triggered.
- Period: Weekly – Specifies the calculation period used to evaluate the total worked duration. Available options include Daily, Weekly, Bi-Weekly, and Monthly.
- Grace Period (Minutes): 0 – Defines any additional tolerance allowed before triggering the exception.
- Corrective Action(s): Acknowledge, Edit Attendance Record – Authorized users can either acknowledge the exception or modify the attendance record if corrections are required.
- Who Can Perform: Global Admin – Specifies that only Global Admin users are authorized to perform the configured corrective actions.
- Enable this rule: Checked – Indicates that the rule is active and the system is monitoring for excess work duration.
How it works: The system continuously calculates the employee's actual work duration, excluding break deductions, across the configured period. If the cumulative duration exceeds the defined maximum limit, an exception record is generated.
Configuring the "Roster Based Round-Off Variance" Exception Rule
An HR Administrator wants to configure a rule that automatically flags attendance records where the variance between the actual punch time and the rounded punch time exceeds an acceptable threshold, helping supervisors identify potential roster misalignments or attendance discrepancies.
The rule is configured as follows:
- Rule Type: Roster Based Round-Off Variance – This rule monitors the variance between actual and rounded attendance punch times for rostered employees.

- Corrective Action(s): Acknowledge, Edit Roster Shift – Authorized users can either acknowledge the variance or update the assigned roster shift.
- Who Can Perform: Global Admin, Supervisor – Specifies the user roles authorized to perform the configured actions.
- Enable this rule: Checked – Indicates that the rule is active and the system is monitoring round-off variances.
How it works: After applying the configured attendance rounding rule, the system compares the actual punch time against the rounded punch time stored in the attendance record. If the variance exceeds the configured grace period, an exception is triggered.
Example: A roster shift is configured from 09:00 to 17:00 with a rounding rule applied to shift start times. An employee punches in at 09:25, and the system rounds the punch to 09:00. Since the variance exceeds the configured 10-minute threshold, the system generates a Round-Off Variance exception.
