Attendance Record Exception Management – Exception Bulk Acknowledge
Administrators can now resolve attendance exceptions faster than ever. With a single click, multiple exception records can be acknowledged at once—and the enhanced Timeline View brings all pending exceptions for the day into one consolidated panel, enabling direct corrections without ever leaving the context. HR Admin can now define the attendance-related policies within the attendance module.
- A new "Acknowledge All" button allows users to bulk acknowledge multiple exception records simultaneously, significantly reducing manual effort.
- The "Edit Attendance Record" action now opens an enhanced Timeline View popup featuring a dedicated Pending Exception Records panel. This panel displays the day's triggered exceptions and enables direct correction actions — all within the same context.
Exception Rules
HR administrators now have full automated control over shift compliance and working-time monitoring. Two new configurable rules instantly flag deviations against scheduled boundaries and legal limits—ensuring the right balance between enforcement and flexibility, with no manual oversight required.
- Early Departure Rule
Continuously monitors punch-out times against scheduled shift ends, with configurable grace periods to accommodate different operational needs and avoid penalizing minor variations.
Excess Work Duration Rule
Dynamically calculates actual work time (excluding breaks) against configured maximum limits, with flexible tracking periods of daily, weekly, bi-weekly, or monthly to suit diverse organizational policies.
- Roster Round-Off Variance Rule
HR teams now have an intelligent safety net that automatically flags rounding variances exceeding acceptable thresholds. A configurable rule evaluates the difference between actual and rounded punch times against a customizable grace period, with authorized users able to take direct corrective actions, including Acknowledge and Edit Roster Shift, right within the Exception Records interface.
Cross Module Reporting Support for the Attendance Module
Building on the Cross Module Reporting foundation introduced in Version 8.0, delivers cleaner, more flexible pay code reporting:
- A simplified "Pay Codes" checkbox streamlines the selection process, allowing users to include all relevant columns with a single click instead of selecting each pay code individually.
- Users can now filter by single or multiple Pay Policies, which dynamically updates the Pay Code filter to show only relevant codes for selection.
- Generated report columns now display only the Pay Code name, minimizing interface clutter and ensuring cleaner, more readable headers.
Auto Populate Missing Attendance Records
HR Administrators can now resolve missing attendance records for predictable schedules instantly. Rather than creating records manually, the system intelligently maps an employee's scheduled shift times and breaks to the attendance date in a single action — complete with validation and automatic audit notes for complete transparency.
- A new "Auto Populate" button instantly generates missing attendance records by mapping an employee's scheduled shift times and breaks directly to their punch inputs.
- Strict validation logic is enforced during auto-population, and all newly generated records are tagged with an explanatory note for full transparency and auditability.
Round-Off Recalculation Based on Roster Shift Changes
Retroactive roster updates now automatically flow through to attendance calculations. When a supervisor modifies a past shift, the system intelligently re-evaluates all associated records — re-applying rounding rules, break deductions, and pay code allocations against the updated shift — ensuring credited hours are always accurate and up to date.
- A new "Re-Evaluate Roster Shift Changes" configuration in Pay Policies automatically triggers a recalculation whenever a past Roster shift is modified or a new shift is added retroactively.
- The system automatically discards old round-off adjustments, retrieves the device's original actual punch times, and reapplies Directional Round-Off rules strictly against the updated shift parameters.
- Break deductions, pay code allocations, and exception records are all dynamically re-evaluated to ensure complete attendance and payroll accuracy.
Restrict Manual Attendance Records Edits Outside Scheduled Shifts
Organizations can now enforce strong attendance integrity with a purpose-built access control layer. The system can be configured to ensure that only authorized roles make changes within approved shift boundaries — protecting payroll accuracy and giving HR teams complete confidence in the data they manage.
- A "Restrict Manual Attendance Record Add/Edit" configuration within Pay Policies that strictly blocks specific roles from adding or editing punches outside their assigned shift boundaries.
- A validation engine that intercepts invalid manual updates and immediately displays an error message to the user.
- Higher-level HR or System Admins remain explicitly exempt from these restrictions, ensuring operational flexibility where it matters.
