Organizations regularly run evaluations on a predictable cadence, probationary reviews a set number of days after hire, annual reviews on each employee's work anniversary, or company-wide reviews on a fixed calendar date. Tracking who is due when and manually creating each appraisal on the right day is repetitive and error-prone.
Automatic Appraisal Creation removes that manual tracking. Once Schedules and Rules are configured, the system identifies eligible employees on its own, creates their appraisals on the correct date, and records the next scheduled review date on each employee's profile, so no review deadline is missed.
Automation Types
Automatic Appraisal Creation supports three automation types to cover different review patterns:
| Automation Type | When it triggers | Typical use |
|---|---|---|
| One-Time | Once per employee, a defined interval after a starting event | Probationary reviews (e.g. 90 days after the hire date) |
| Anniversary-Based | Recurring each year, relative to the employee's hire date | Annual reviews timed to each employee's own start date |
| Annually-Fixed | Recurring each year, on a fixed calendar date | Company-wide review cycles where everyone is reviewed on the same date |

How Appraisals Are Created
A daily Task runs automatically in the background and performs the following:
- Evaluates all active Schedules and Rules against the current date.
- Identifies the employees who become eligible for an appraisal that day, based on the predefined criteria (such as hire date, employment status, sub-unit, or job title).
- Automatically initiates the appraisal for each eligible employee using the configured template and evaluator settings.
- Updates the Performance Tab on each employee's profile with the date of their next scheduled review.
Because the task runs daily, appraisals appear on the day the employee becomes eligible — there is no need to manually create them in advance.
Viewing Automatically Created Appraisals
Automatically created appraisals appear alongside manually created ones under Performance → Appraisals, and can be opened, edited, and progressed in the same way. To check an individual employee's upcoming review, open their profile and review the Performance Tab.
Note: Automatically created appraisals are retained in Performance reports with their correct creation and due dates, so historical reporting remains accurate even for appraisals that were never created by hand.
