OrangeSign is OrangeHRM's built-in e-signature tool. In the Recruitment module, it lets you send candidate documents, such as offer letters, for review and signature without leaving OrangeHRM or relying on a separate e-signature tool.
Where to find it
OrangeSign is available from a candidate's profile in the Recruitment module, wherever a document has e-signature enabled.
Send the document for signature
Step 1: Go to the Recruitment module and open the candidate list.
Step 2: Select the candidate and open their profile.
Step 3: Click the Create Document button to see the documents available for this candidate.
Step 4: Click Preview on the document you want to send.
Step 5: Fill in the required tokens so the document is personalized for the candidate.
Step 6: Review the full document preview to confirm everything is accurate.
Step 7: Click Send E-Signature Request.
Step 8: Review the email template, then confirm to send it.
Note: Only documents with e-signature enabled show the option to send an e-signature request.
Note: A document isn't limited to a single candidate signature, you can set up multiple signers in sequence if the document needs more than one.
What the candidate sees
The candidate receives an email with a button to review and sign the document.
Step 9: Once the candidate clicks the button, it takes them straight into the document; candidates don't need an OrangeHRM login to sign.
Step 10: Candidates will then see a consent screen first: check the "I agree" and click "Continue" to open the document.
Step 11: Once you click the Continue button, you can now review the job confirmation letter
Step 12: Click Sign to open the signature modal, then choose to type or draw their signature.
Step 13: Once done, click Sign Here to place it on the document, and you can edit or remove it before finishing.
If commenting is enabled for this signer, they can also add a comment.
Step 14: Click on the Finish button to complete the signing process.
Note: Because candidates sign without logging in, make sure the email address on their candidate profile is correct before sending the request.
Step 15: Confirm the completion of the signing process
Step 16: Click on the Download button to download the signed document.
Once you download the document, you can see a full audit trail report.
You can also see that the document is certified by OrangeHRM.
After signing
Once every required signer has finished, the candidate, and anyone else configured on the document, the audit trail is attached, and the document is marked complete. For a document with only the candidate signing, this happens as soon as they click Finish.
The finalized, signed document is automatically emailed to everyone involved, including the person who sent the request; no need to chase it down or share it manually.
