OrangeSign is OrangeHRM's built-in e-signature tool. From an employee's Job tab, it lets you send employee documents, such as a job confirmation letter, for review and signature without leaving OrangeHRM or relying on a separate e-signature tool.
Where to find it
OrangeSign is available from Document Management on an employee's job tab, wherever a document has e-signature enabled.
Send the document for signature.
Step 1: Go to Employee Management Module and select the employee.
Step 2: Open their Job tab, where Document Management is located.
Step 3: Click the Create Document icon to see the documents available for this employee.
Step 4: Select the document you want to send, for example, the job confirmation letter.
Step 5: Click the email icon to prepare the signature request.
Step 6: Fill in the document tokens so the document is personalized for the employee.
Step 7: Review the document to confirm everything is accurate before sending.
Step 8: Click Send E-Signature Request.
Note: Only documents with e-signature enabled show the option to send an e-signature request.
What the employee sees
The employee receives an email with a clear call to action to review and sign the document.
Step 1: Clicking the link takes them to the OrangeHRM login screen first, since employees sign in as logged-in system users. Log in using your given credentials
Step 2: You will see a consent screen next: Check, I agree, and click Continue before the document opens.
Step 3: Once you click the Continue button, you can now review the job confirmation letter
Step 4: Click Sign Here to open the signature window, then choose to type or draw your signature.
Step 5: Click Sign to place it on the document, and you can edit or remove it before finishing. Click the Sign button to complete.
Step 6: Click Finish to complete the signing process.
Once you complete the signing, you will then receive an email stating that you have successfully completed the signing process at OrangeHRM.
After signing
This example uses a document with a single signer, so the audit trail is attached as soon as the employee clicks Finish. A document can also be set up with multiple signers in sequence; in that case, the trail completes once everyone required has signed.
Note: The finalized, signed document is automatically emailed to both the employee and the person who sent the request.
