OrangeSign is OrangeHRM's built-in e-signature tool. The Performance module, it lets a completed appraisal be signed off by the evaluator and employee without leaving OrangeHRM or relying on a separate e-signature tool.
Where to find it
OrangeSign is available on a completed appraisal in the Performance module, once both the self-evaluation and the evaluator's submission are done.
Start the signing process
Step 1: Navigate to the Performance module and open the completed appraisal.
Step 2: Click the dropdown next to the main evaluator's name.
Step 3: Select Sign to begin.
Step 4: Check "I agree" and click the "Continue" button.
Step 5: Review the full document, then click Next to jump to the signature field.
Step 6: Click Sign Here to open the signature window, then choose to type or draw your signature.
Step 7: Once done, click Sign to place it on the document.
It can be edited or removed at any point before finishing. If commenting is enabled for you, you can also add a comment.
Step 8: Click Finish to complete your signature.
An appraisal can have more than one required signer, for example, the evaluator and the employee. Once a signer finishes, OrangeHRM automatically emails the next signer in order.
The next signer receives an email with a button to review and sign the document.
Step 9: Click on the "Review & Sign Document" button to start the signing process.
Step 10: Since employees sign in as logged-in OrangeHRM users, clicking the button takes them to the login screen first.
From there, they go through the same consent, review, and signature steps described above.
Note: Signers complete the document in order, the next signer isn't notified until the current one finishes.
Step 11: Click "Sign Here" to open the signature window, then choose to type or draw your signature.
Step 12: Once done, click Sign to place it on the document.
Step 13: As the employee, you can see that your main evaluator has also signed the document.
Step 14: Click on the Download button to download the signed document
Step 15: Once you download the document, you can see a full audit trail report.
You can also see that the document is certified by OrangeHRM.
Both signers will receive a confirmation email that they have successfully completed the signing process at OrangeHRM.
After signing
Once every required signer has completed their signature, the full audit trail is attached to the document. Opening the downloaded PDF confirms it's certified by OrangeHRM.
Note: All signers, and the person who initiated the request, receive a confirmation email with the completed document attached.
