If you want a Custom Administrator to build and manage applications — rather than using a System or Global Administrator account — you grant that access through data group permissions at the user-role level. This article explains how to assign the App Builder data groups to a custom admin role and what each permission level allows.
Note: The App Builder data group permissions only appear when App Builder is enabled in your licence. If your licence does not include App Builder, these data groups will not be shown.
Assign the App Builder data groups
Step 1 - Go to Admin > User Management > User Roles (or HR Administration > Manage User Roles).
Step 2 - Select the custom admin user role you want to configure and click Edit.
Step 3 - Open the Data Group Permissions tab and scroll to the Other category. The three App Builder data groups are listed alphabetically at the top of this category.
Step 4 - Assign the permissions your Custom Administrator needs. Each data group supports four permission types, Read, Update, Create, and Delete. The three data groups are:
- App Builder – Application Configuration — viewing, creating, editing, publishing, unpublishing and deleting applications.
- App Builder – Form Configuration — viewing, previewing, editing, creating, copying and deleting forms, including form workflow, form-level permissions and form notifications.
- App Builder – Document Template Configuration — viewing, creating, editing and deleting document templates.
Step 5 - Click Save to apply the permissions.
How each permission behaves
Application Configuration
- Read only — the App Builder icon appears in the sidebar, but opening it shows a Forbidden message and no actions are available.
- Update — view all apps and edit, publish and unpublish them.
- Create — view all apps and create new ones.
- Delete — view all apps and delete them.
- No permissions — the App Builder icon does not appear in the sidebar.
Form Configuration
- Read — view and preview forms, but the Save button is disabled, so no changes can be saved.
- Update — edit, publish and unpublish forms. A form can only be edited by the user who created it.
- Create — create new forms and copy existing ones.
- Delete — delete forms. A form can only be deleted by the user who created it.
Document Template Configuration
- Read, Update, Create and Delete control viewing, editing, creating and deleting document templates. Templates remain readable by all users by default.
Recommended minimum
To give a Custom Administrator usable App Builder access, grant at least App Builder – Application Configuration: Update alongside any Form or Document Template permissions.
Note: Granting Form or Document Template permissions without Application access leaves those features unreachable, because there is no way into the App Builder menu.
