Can a client admin build apps after go-live?

Yes, from version 8.1.1 onwards, if App Builder configuration permissions are granted to their user role. On earlier versions, only System Administrators can access App Builder.

What happens to my data if the licence expires?

All data is retained intact. Access is suspended until the licence is renewed, at which point everything is restored exactly as before.

Can the same form be used across multiple workflows?

No. Each app has its own forms. A similar form for a different workflow must be recreated.

What is the difference between Return and Reject?

Return sends the submission back to the previous step for correction. Reject ends the workflow with a rejected status. Both terms are configurable.

Can we have multiple approvers at the same step?

Yes. Parallel approvals are supported — the first approver to act moves the record forward.

What is a Master Data form and when should I use it?

It is a form without a Record Owner, used to store reference data (for example, course codes) that other forms reference via a Lookup Field. Use it for a managed list that employees shouldn't submit to directly.

When should I use a Lookup Field instead of a Dropdown?

Use a Dropdown for a fixed set of values. Use a Lookup Field backed by a Master Data form when the list changes over time, so it can be maintained without editing the form.

Are system master data fields supported?

Yes. Most system master data fields — Job Title, Location, Sub Unit and others — can be used as master fields in App Builder forms.

Can we import or export data in bulk?

Not currently. Both bulk import and export to CSV/PDF are on the product roadmap.

Can an approver reassign their task to someone else?

No.

Can we test an app before making it live?

Yes. Use Preview to review the layout before publishing, and configure the app in a sandbox or staging environment for end-to-end testing before going to production.
