Feature Overview
Performance Core lets Administrators build reusable Review Templates that define the questions asked in a performance review, who evaluates the employee, and which parts of the organisation the template applies to. Once a template is set up, it can be used again and again to launch consistent reviews, so you do not have to rebuild the question set or nominate an evaluator every time. This article explains how to create a template, add rating questions and customise the rating labels, choose how the manager evaluator is selected, and update or delete a template.
Interface Overview
Go to Performance Core > Review Templates. This screen lists every template already created. From here you can add a new template using the Add button, or open an existing template to view, edit or delete it. Each template holds three things: its name and scope, its questions (split into a self-assessment set and a manager set), and its manager selection rule.
Create a Review Template
Go to Performance Core > Review Templates. You will see the list of existing templates.
Click Add. The Create Review Template screen opens.
In Template Name, enter a name that describes the review, for example "Annual Review" or "Probation Review".
- Under Applies To, choose the subunits the template covers. Select All subunits to make it available organisation-wide, or type and select specific subunits.
To include future parts of the organisation automatically, tick Applies to every current & future subunit. The template will then also apply to any new subunits created later.
Add your questions under the two question sections — Self-Assessment Questions (answered by the employee) and Manager Questions (answered by the manager). Click Add Question in the section you want, then type the question in Enter your question here.
For each question, choose the answer type: Text for a written response, or Rating for a scored response against a scale (see the next section).
Set the Manager Selection rule that decides who evaluates the employee (see "Set how the manager evaluator is selected" below).
Click Save. You will see a confirmation that the template was saved, and it will appear in the Review Templates list.
Note: A template name must be unique. If the name is already in use, you will see the message "Template name already exists" and the template will not save until you change it.
Add a Rating Question and Customise the Rating Labels
A rating question lets the evaluator score against a defined scale instead of writing free text. This is useful when you want consistent, comparable scores across employees.
- While adding or editing a question, set the answer type to Rating.
The rating scale appears with the system default labels — Outstanding, Exceeds Expectations, Meets Expectations and Developing.
To align the scale with your own performance framework, edit any label. Click into the label field and enter your own wording in Enter label.
Click Save to keep your changes.
Note: A rating label cannot be left empty and cannot be repeated within the same scale. If you leave one blank you will see "Rating label cannot be empty", and if you reuse a label you will see "Rating label cannot be duplicated".
Set How the Manager Evaluator Is Selected
Each template decides how the manager evaluator is chosen when a review is created, so you do not have to nominate a manager by hand for every review.
- Open the Manager Selection setting on the template.
Choose how the manager should be resolved:
- Supervisor — the review is assigned to the employee's reporting supervisor.
- Head of Department (HOD) — the review is assigned to the head of the employee's subunit.
- If the system cannot resolve a manager from the rule you chose, you will be prompted to pick one. Use Select a manager to choose the evaluator manually.
Click Save.
Note: If no supervisor or head of department can be found for an employee, you will see a message such as "No supervisor found for the selected reporting method. Please select a manager manually." — assign a manager by hand to continue.
Update a Review Template
Go to Performance Core > Review Templates.
- Find the template you want to change and open it.
Click Edit to switch to the Update Review Template screen.
Change the name, subunit scope, questions, rating labels or manager selection as needed.
Click Save. You will see a confirmation that the template was updated.
Note: You can only update templates that fall within the subunits you are authorised to manage. Changes to a template are recorded, so there is a full history of what was changed.
Delete a Review Template
Go to Performance Core > Review Templates.
- Select the template you want to remove.
Click Delete and confirm.
Note: A template that is in use — linked to an active review or a review plan — cannot be deleted. If you try, you will see "This template cannot be deleted". This protects existing reviews from being broken. If you do not have rights over the template's subunits you will see "You don't have permission to delete this template".
Role-Based Access
Review Templates are managed by the Administrator. Administrators can create, view, update and delete templates within the subunits they are authorised to manage. Every create, update and delete action on a template is captured in the Performance Core audit trail for accountability.
