A performance review covers one employee for one period. Creating it sets the period, the submission due date, the questions, and who evaluates. Reviews can also be created automatically by the review plan — this article covers creating one yourself.
Interface Overview
The Performance Reviews screen has two panels. The left panel lists employees, in alphabetical order by last name, with a search box and a filter. The right panel shows the selected employee's reviews and their evaluations.
Step-by-Step Procedure
- Open the Performance Reviews tab.
- Find the employee. Type a name into the search box, or open Advanced Employee Search to filter by Sub Unit, Include Employees, Job Title, Employment Status or Review Status, then click Search.
- Select the employee. Their reviews load on the right.
- Click Create Performance Review. A form opens over the page.
- Check the Employee. This is filled in from the employee you selected and cannot be changed here.
- Choose the Review Template. Only templates that apply to that employee's subunit, one of its parent subunits, or all subunits are listed.
- Set Review Period Start, Review Period End and the Submission Due Date.
- Once the template is chosen, the evaluator fields appear. Self is the employee and cannot be changed. Check Manager — it is filled in from the template's Manager Selection where one can be resolved.
- Click Save. The review is created and loads on screen.
Notes & Important Behaviour
- Date order. The review period end must be after the review period start, and the submission due date must be on or after the review period end.
- Evaluators appear once a template is chosen. The template decides who evaluates, so there is nothing to show until you select one.
- When no manager can be worked out. The field is left blank with a message explaining why — for example "No head of department found for the employee's subunit. Please select a manager manually." — and you choose someone before saving.
- Nobody evaluates themselves as manager. An employee will not appear in the Manager list for their own review.
- Reassigning affects one review. Changing a manager evaluator later applies to that review only, never to the template.
- The review copies the questions. It takes its own copy of the template's questions at the moment it is created.
- Deleting a review. You confirm first. A Head of Department cannot delete a review once either evaluation has been submitted; an Admin can delete reviews within their scope at any point. Deleting one does not stop the review plan creating future ones.
Visual Indicators & Statuses
Employees in the list carry a badge showing the most urgent state among their reviews. Only one badge is shown per employee, and only for the highest-priority state.
- Overdue — At least one review is past its due date and not submitted. More than one shows a count, e.g. Overdue (3)
- Upcoming — At least one review is not yet due. Shows a count when there is more than one
- Needs Attention — A review has an auto-assigned manager evaluator that needs confirming or reassigning
- No badge — Everything is submitted or completed, or you cannot see that employee's reviews
The Reviews dropdown lists the employee's reviews with the review period and a status badge. The review needing attention soonest is selected for you: overdue first (oldest first), then upcoming (soonest first), then submitted and completed reviews (most recent period first).
Note: Where the review plan could not work out a manager evaluator and used the plan's default instead, the review is flagged as needing attention. The card explains that the manager evaluator was auto-assigned because no primary evaluator could be resolved. Use Reassign Evaluator to choose someone else, or Confirm to accept the assigned evaluator. Either clears the flag.
