The New Hire Probation Review Plan creates performance reviews automatically for new employees, so probation and follow-up reviews happen on a predictable schedule without anyone creating them by hand. It comes pre-configured: a first review 90 days after an employee's join date, then a repeat review every 6 months.
The plan ships switched off. You set a fallback manager evaluator, adjust the timings if you want, and activate it.
Step-by-Step Procedure
- Open the Review Plans and Cycles tab. The list shows Name, Applies To, First Review After, Repeat Every, Submission Due In and Status.
- Click the edit icon at the end of the plan's row to open Review Plan Details.
- Check Applies To — new employees, based on their join date. This cannot be changed.
- Adjust the timings if you need to:
First Review After — days after the join date before the first review is created. The default is 90.
Submission Due In — days the evaluators get to submit. The default is 14.
Repeat Every — months between reviews after the first one. The default is 6. - Check the Review Template the plan uses. It is set to Standard Review Template.
- Set the Default Manager Evaluator — start typing a name and pick from the hints. This person is assigned only when the plan cannot work out the usual manager for an employee.
- Set Status to Active, then click Save.
Notes & Important Behaviour
- Set the fallback evaluator before activating. A default manager evaluator must be in place, or activation is blocked and you are told to configure it first.
- Changing and removing the fallback. It can be changed at any time, but only removed while the plan is inactive.
- It must be a current employee. If they later leave, the plan keeps running and the details screen warns you to update the field.
- Changes are not retrospective. They apply only to reviews created after you save; existing reviews are untouched.
- Deactivating stops new reviews only. Reviews already created are unaffected.
- Fallback assignments are flagged. A review created using the fallback evaluator is marked in the Performance Reviews list so a Head of Department or Admin can confirm or reassign it.
- The plan runs daily. It does not create reviews for past dates, and will not create a second review for the same employee and date if it runs more than once.
- Local dates decide timing. Reviews are created based on the employee's own local date, using their location.
