When you move a candidate to a different vacancy from their profile, the Vacancy dropdown lists only vacancies with the status New or Published. Closed and Unpublished vacancies are left out on purpose. If a vacancy is missing, check its status first.
How it works
A vacancy can have one of four statuses: New, Published, Unpublished or Closed. The system treats only New and Published vacancies as open for new candidates. Unpublished and Closed vacancies are not offered when you add a candidate or move a candidate to another vacancy.
The list also depends on your permissions. You see only the vacancies you are allowed to add candidates to. For example, a hiring manager usually sees only the vacancies they manage. An Admin sees every New and Published vacancy.
What you can do
- Go to Recruitment > Vacancies and find the vacancy that is missing from the dropdown.
- Check its status. The vacancy list marks Unpublished vacancies with "(Unpublished)" after the name.
- If an Unpublished vacancy should take candidates again, open it and publish it again from its job posting settings.
- Go back to the candidate's profile under Recruitment > Candidates and choose the vacancy from the Vacancy dropdown.
- If the vacancy is New or Published but still not listed, ask your administrator to check that your user role can add candidates to that vacancy. For hiring managers, check that you are set as the vacancy's hiring manager.
Things to note
- Publishing an Unpublished vacancy puts it back on your careers page and any linked job boards. If you only want to move a candidate, plan to unpublish it again afterward.
- When you move a candidate to another vacancy, the scores from their previous vacancy stay available in the candidate history.
- Searching and filtering the candidate list is separate from this dropdown. Those filters can still find candidates in Closed or Unpublished vacancies.
