Continuous Feedback lets you record short notes about an employee's performance at any time, instead of waiting for a formal review. Each note has a headline, a performance rating and a comment, and can carry supporting files. Over time these notes build up a picture of how someone is doing, which you can draw on when the formal review comes round.
Continuous Feedback exists for every employee automatically. There is nothing to set up and nothing to switch on for an individual.
Where to Find It
Step 1 - Click Performance Pulse in the main menu.
Step 2 - Click Employee Performance Profiles. You will see the employee list on the left.
Step 3 - Select an employee from the list.
Step 4 - Click the Continuous Feedback tab. The employee's feedback opens, with the newest entry at the top.
Interface Overview
The screen has three parts:
- The employee list on the left, with a search box and a filter button.
- The Continuous Feedback card at the top, showing the employee's name and job title, and a pill on the right telling you how many feedback providers they have.
- The Feedback card below it, with the Add Feedback button and every entry recorded so far.
If nobody has written anything yet, the Feedback card shows a short message and an Add Feedback button in the middle.
How to Add Feedback
Step 1 - Click Add Feedback. The Add Feedback window opens.
Step 2 - Enter a short headline in Log. This is the line people see first, so keep it specific.
Step 3 - Choose a rating in Performance. The options are Positive, General Comments and Development Needs.
Step 4 - Leave Visible to employee ticked if the employee should be able to read this entry, or untick it to keep the note to yourself and other managers.
Step 5 - Enter the detail in Comment.
Step 6 - Click Browse to attach any supporting files. This step is optional.
Step 7 - Click Save. The entry appears at the top of the Feedback list.
Note: Visible to employee is ticked by default. If you want a private note, you have to untick it before saving.
Note: You can attach up to 5 files to one entry. Each file can be up to 5MB, and the accepted types are .docx, .doc, .odt, .pdf, .rtf and .txt.
Letting the system draft the headline for you
If your organisation has AI features switched on, a small button appears at the right-hand end of the Log field. It writes the headline for you from what you typed in the comment.
Step 1 - Write the Comment first. The button stays greyed out until there is a comment to work from.
Step 2 - Click the button beside Log. Its tooltip reads Generate a log from the comment.
Step 3 - Check the headline it writes and edit it if you want to. You can always type your own instead.
The headline appears in the Log field, ready to use or edit.
Note: This button only appears if AI features have been switched on for your organisation. If you cannot see it, type the headline yourself — nothing else on the form changes.
How to Edit or Delete an Entry
Step 1 - Point at the entry you want to change. A pencil icon and a bin icon appear at the top right of it.
Step 2 - Click the pencil icon to change the entry, then click Save.
Step 3 - Click the bin icon to remove the entry, then confirm.
Note: You can only edit and delete the entries you wrote yourself. Administrators can edit and delete any entry.
How to Manage Feedback Providers
A feedback provider is an ordinary employee you allow to write Continuous Feedback about someone else. Once you grant it, that employee sees the person on their own Employee Performance Profiles screen and can add entries there.
Step 1 - Click the feedback providers pill at the top right of the Continuous Feedback card. The panel opens and lists everyone who currently has access.
Step 2 - Click Add Feedback Provider at the bottom of the panel.
Step 3 - Start typing a name in Add Feedback Providers and choose the person from the list. You can add more than one.
Step 4 - Click Save. The panel shows the new provider and the count on the pill goes up.
To take the access away again:
Step 1 - Click the feedback providers pill to open the panel.
Step 2 - Point at the person you want to remove. A bin icon appears on their row.
Step 3 - Click the bin icon and confirm.
Note: Any employee can be made a feedback provider for any other employee. They do not have to be a manager, and they do not have to work in the same team or location.
Note: Removing someone as a feedback provider does not delete the entries they already wrote. Those stay on the employee's record.
Visual Indicators
- Positive (green) — something that went well and is worth recording.
- General Comments (grey) — a neutral note, such as a change of equipment or a course booking.
- Development Needs (red) — something to work on.
- A number with a paperclip beside an entry tells you how many files are attached to it.
Who Can Do What
- Administrators — see Continuous Feedback for every employee, add entries, and edit or delete any entry.
- Heads of Department — see everyone in their own subunit and the subunits below it, without needing to be added as a feedback provider. They can add entries, and edit or delete only their own.
- Supervisors — see the people who report to them, without needing to be added as a feedback provider. They can add entries, and edit or delete only their own.
- Feedback Providers — see only the employees who they have been granted access to. They can add entries, and edit or delete only their own.
- Employees — see their own record on My Performance Profile. They never see this screen for anybody else.
Note: A custom administrator role needs Read on the Performance Pulse - Continuous Feedback permission group to see the tab at all, and Create to add an entry. Seeing and changing the feedback providers list is controlled separately, by the Performance Pulse - Continuous Feedback Providers group.
