Citra AI helps recruiters, hiring managers and interviewers handle everyday recruitment tasks by chatting in plain language. You can ask Citra to rank the candidates for a vacancy, change candidate statuses, schedule interviews, record your interview feedback, and summarise the feedback from an interview panel.
Citra always shows you exactly what it is about to change and waits for your confirmation before it updates anything. You stay responsible for every hiring decision.
Note: Citra only shows vacancies, candidates and interviews that you already have permission to see in the Recruitment module. To learn how to open Citra, see the article How to Use Citra AI Chatbot.
Rank Candidates for a Vacancy
Citra reads the vacancy's job description and compares it with each candidate's profile, resume and application form answers. It then scores each candidate out of 100 and lists them in ranked order.
Step 1 - Open Citra AI.
Step 2 - Ask Citra which candidates have applied for the vacancy. For example: "Which candidates have applied for the Senior Software Engineer vacancy?"
Step 3 - Review the list of candidates Citra shows.
Step 4 - Ask Citra to rank the candidates. For example: "Rank the candidates for the Senior Software Engineer vacancy."
Step 5 - Review the ranked list. By default, Citra shows the top 10 candidates.
For each candidate, Citra shows:
| Column | What it shows |
|---|---|
| Rank | The candidate's position in the list. |
| Score (/100) | How closely the candidate matches the job description. |
| Gap Against Job Description | Any requirement the candidate does not meet, for example "2 years short of the required experience". |
| Flags | Relevant history from the candidate's past applications in OrangeHRM. |
Change the number of candidates shown
Ask for a different number when you need more or fewer than 10. For example: "Show me the top 20 candidates for the Senior Software Engineer vacancy."
Check new applicants
Citra includes candidates who applied since you last checked. To focus on them, ask: "Show me the suitable candidates who applied since I last checked." Citra ranks the new applicants against all candidates for the vacancy.
How past applications affect the ranking
Citra checks each candidate's earlier applications in OrangeHRM:
- A recent missing or weak skill that the role needs lowers the score and is flagged.
- An older missing or weak skill is given little weight and noted as background only.
- A conduct or attitude concern is always flagged, however old it is.
- No earlier application, or no concern on file means no flag is shown.
The ranking is a suggestion
Every ranking response ends with this message:
"This ranking is a suggestion to help you review candidates faster, it isn't a hiring decision. You are responsible for shortlisting, rejecting, or otherwise acting on any candidate based on this information."
Note: Citra never shortlists or rejects candidates by itself. The score is created fresh each time you ask and is not saved to the candidate's profile.
Change Candidate Status
You can ask Citra to move one or more candidates to a new status, such as rejecting everyone who was not selected after a shortlist review.
Step 1 - Ask Citra to change the status of the candidates. For example: "Reject John Smith and Linda Perera for the Accountant vacancy."
Step 2 - Review the list Citra shows. It names each candidate and the status they will move to.
Step 3 - Read the message reminding you that you are responsible for the change.
Step 4 - Confirm the change.
Step 5 - Review Citra's confirmation of each candidate's new status.
Change many candidates at once
You do not need to name every candidate. For example: "Reject every other candidate who applied for the Accountant vacancy." Citra lists every candidate it will change before asking you to confirm, and then updates them all in one action.
If your request moves candidates to more than one status, Citra shows a separate list for each status so you can check them one by one.
Note: If you do not confirm, or you cancel, Citra makes no changes. Citra only uses the statuses already set up in the vacancy's workflow. Candidates are notified through your existing recruitment email notifications, as they are when you change a status in the Recruitment module.
Schedule an Interview
Citra shows you who is assigned to a candidate's interview or test stage and books the interview at the time you choose. OrangeHRM does not hold calendar availability, so you check when everyone is free outside OrangeHRM and then give Citra the time.
Step 1 - Ask Citra who is assigned to the candidate's interview or test stage. For example: "Who is assigned to John Smith's Technical Interview?"
Step 2 - Review the names and roles Citra shows.
Step 3 - Check the availability of the assigned people and the candidate outside OrangeHRM, and choose a time.
Step 4 - Give Citra the date, time and time zone. For example: "Schedule John Smith's Technical Interview on 12 November 2026 at 10:00 AM Colombo time."
Step 5 - Review the interview details. Citra reads back: the candidate, the stage, the assigned panel, and the date, time and time zone.
Step 6 - Confirm the details.
Citra schedules the interview, sends the interview invitation in the same way as an interview scheduled in the Recruitment module, and adds the interview to the candidate's history.

Who Citra shows
| Role | Shown as |
|---|---|
| Stage coordinators assigned to the stage | Coordinator |
| Interviewers added to the candidate's interview | Interviewer |
| No interviewers added yet | Coordinators are shown, and Citra says no interviewers are confirmed yet |
How Citra responds to the time you give
| What you give Citra | What Citra does |
|---|---|
| A date, time and time zone | Reads back the full interview details and asks you to confirm |
| A date and time with no time zone | Asks you for the time zone first |
| A new time after you confirmed | Reads back the updated details and asks you to confirm again |
| No confirmation | Schedules nothing and makes no change |
Note: If no one is assigned to the stage, Citra asks you to assign interviewers or coordinators in the Recruitment module first. Citra does not suggest times, check calendars, change the panel, or reschedule or cancel an interview that is already booked.
View Your Interviews and Submit Feedback
If you are an interviewer or a stage coordinator, Citra can list the interviews and tests waiting for your feedback and record your feedback for you.
Step 1 - Ask Citra for your interviews that need feedback. For example: "Show me the interviews I need to give feedback on." To see one vacancy only, add the vacancy name.
Step 2 - Review the list. Citra shows the candidate name, stage, vacancy, and scheduled date and time for each interview or test.
Step 3 - Tell Citra which candidate you want to give feedback for.
Step 4 - Review the fields Citra shows for that stage.
Step 5 - Give the Outcome (Pass or Fail) or the Score, depending on the stage.
Step 6 - Add your Comment, if you have one.
Step 7 - Add a Final Comment, if you have one.
Step 8 - Add a Schedule Comment, if you have one.
Step 9 - Review the values Citra reads back. Citra shows only the fields you filled in.
Step 10 - Confirm to save your feedback.

The fields depend on the type of stage:
| Field | Stages without scores | Stages with scores |
|---|---|---|
| Outcome (Pass or Fail) | Yes | No |
| Score (from 0 up to the stage's maximum score) | No | Yes, optional |
| Comment (your own comment, saved under your name) | Yes, optional | Yes, optional |
| Final Comment (overall summary for the interview) | Yes, optional | Yes, optional |
| Schedule Comment (note about scheduling) | Yes, optional | Yes, optional |
Note: Your comment is added as a new comment under your name. It does not change comments from other panel members. If you enter a score above the stage's maximum, Citra asks for a valid score.
Note: If feedback has already been saved for the interview, Citra tells you, shows the saved values, and asks whether you want to update them. If you do not confirm, nothing is saved.
Citra only shows interviews and tests you are assigned to. Feedback for test stages that use a question form is entered in the Recruitment module, not through Citra.
Review Panel Feedback for a Candidate
After an interview, ask Citra how the candidate did. Citra shows each panel member's feedback separately, so you can see who said what.
Step 1 - Ask Citra about the candidate's interview. For example: "How did John Smith do in the Technical Interview?"
Step 2 - Review each panel member's score, outcome and comment.
| Panelist | Score | Outcome | Comment |
|---|---|---|---|
| Jordan Mathews | 82 | Pass | Strong system design fundamentals. |
| Mary Alcala | 78 | Pass | Communicated clearly under pressure. |
| Peter Anderson | - | No feedback | - |
Citra shows no feedback for a panel member who has not submitted feedback yet.
Split decisions
When panel members disagree, for example, one gives a Pass and another a Fail, or their scores are far apart, Citra flags the interview as a split decision. It shows each panel member's position side by side instead of averaging the scores into one number.
Note: Citra does not recommend which panel member's view should win. That decision stays with you.
