App Builder comes with a library of ready-made apps, known as the App Library. These apps are already in your App Builder application list, so you don't have to build common processes, such as expense claims or HR letter requests, from scratch. You can publish an app as it is, or change it to suit how your organisation works and then publish it.
The pre-built apps are available to all clients licensed for App Builder. Only users who can configure App Builder can change and publish them: System Administrators, Global Administrators, and Custom Administrators whose user role has been given App Builder permissions. Once an app is published, employees use it from the main menu, based on the permissions set in its workflow.
Apps in the App Library
| App | What it is for |
|---|---|
| Expense Tracker (Reimbursement of Travel and Other Expenses) | Employees claim travel and other expenses, such as fuel or meals, and upload their receipts. The claim goes to the supervisor, then to HR for approval, and is then marked as paid by bank transfer or through payroll. |
| Request Suite | Employees request HR letters and certificates, such as a proof of employment letter or a proof of residence letter. Details such as join date, job title and address are filled in from the employee's profile. |
| Coaching | Record coaching sessions with call-centre agents. The team lead or mentor records the session date, call-quality scores, observations, feedback, improvement steps and a follow-up date. The agent then acknowledges the record. A coaching record can be exported as a document. |
| Health & Safety | Keep health and safety records: workers' compensation insurance carrier details, workplace injuries and their risk assessment, and employee accommodation requests under the US Americans with Disabilities Act (ADA). |
| Succession Planning | Nominate employees as successors for key roles and track their readiness. Includes a succession plan form, a list of your own nominations, and an action history. |
Use a Pre-Built App
Step 1 - Click App Builder at the bottom of the sidebar. The Applications window opens and lists your applications, including the pre-built apps.
Note: If your system already had an app with the same name as a pre-built app, that pre-built app was not added. This avoids having two apps with the same name.
Step 2 - Click the three-dot menu ( ⋮ ) on the card of the app you want to use. A menu opens.
Note: If you delete a pre-built app, it can't be restored automatically. To get it back, rebuild it, or export it from another OrangeHRM system where it is still available and import it into yours. See How to Export and Import an Application in App Builder.
Step 3 - Select Publish. The app's status changes to Published.
Step 4 - Click the app's card. The app opens and shows its forms.
Note: Some apps were designed with a particular country or type of team in mind. For example, Health & Safety uses US terms, and Coaching is designed for call-centre teams. Review the fields and wording before you publish, and change them to suit your organisation.
Step 5 - Review the app's forms, workflow and email notifications. To change anything, such as adding a field or changing who approves, follow the steps in Building an Application in App Builder.
Step 6 - Publish each form you want employees to use. Once at least one form is published, the app appears in the main menu for the people who have access to it.
Note: Pre-built apps arrive with a Draft status. Employees can't see an app until you publish the app and at least one of its forms.
Note: Pre-built apps look exactly the same as apps your organisation built itself. Use the app names in the table above to find them.
App Statuses
| Status | Meaning |
|---|---|
| Draft | The app has not been published yet. Employees can't see it. |
| Published | The app is live. It appears in the main menu once at least one of its forms is published. |
| Unpublished | The app was published and then unpublished. Employees can't see it. |
