OrangeHRM can remind employees about an upcoming training session they are enrolled in. The reminder is sent automatically by email, a set number of days before the session's start date, so you don't need to follow up with participants yourself.
Step 1 - Go to HR Administration > Configuration > Email Notifications. The Email Notifications screen opens.
Step 2 - Click the Date Based tab.
Step 3 - Click Training Courses - Participant Session Reminder Notification. Its subscriber list opens.
Step 4 - Click the + button. The subscriber window opens.
Step 5 - Select the Send a notification to the selected employees checkbox. This sends the reminder to the session participants themselves.
Note: The default email gives the session name, the course, the start and end dates, the delivery method and location, and the duration. You can edit it in the same way as other notification templates.
Step 6 - Leave Notify when the affected employee is set to All, so that participants in every session are reminded.
Step 7 - In When to notify, select how long before the session start date the reminder is sent, for example 2 days before.
Note: The reminder is always counted back from the session start date. It cannot be sent after the session has started.
Note: Each participant receives the reminder once, on the day set in When to notify. It is not repeated.
Step 8 - Select the Template.
Step 9 - To send a copy to other people as well, such as training coordinators, add them under Employees, Admin Roles, Supervisor Roles, ESS Roles or Email Addresses. This step is optional.
Step 10 - Click Save. The subscription appears in the subscriber list, and reminders are sent automatically from then on.
Note: Reminders are sent only for sessions with the status Scheduled. No reminder is sent for a session that is cancelled or has any other status.
Note: Only participants who have not yet been marked as participated in the session receive the reminder.
