The Roster Shift Group Report lets you report on every shift in a period, including shifts nobody has been assigned to yet. Each row is a shift group with its location, and the shifts for that group are listed under it. This lets you answer questions such as how many unassigned hours each shift group has this week.
Roster fields are also available in the Roster vs. Actual Work section of Employee reports, which list shifts under each employee. Those reports do not include unassigned shifts.
Create the report
Step 1 - Go to Reports and Analytics.
Step 2 - Click + New Report.
Step 3 - Select Roster Shift Group Report as the report type.
Step 4 - Enter a name for the report.
Step 5 - Select the selection criteria you need, such as Shift Group, Shift Group Location, Date or Shift Status.
Step 6 - Select the display fields to show in the report.
Step 7 - Select the fields to group by, if you want totals per group.

Shift Status filter
| Option | Shows |
|---|---|
| Unassigned | Open shifts with nobody assigned. |
| Assigned | Shifts with an employee that are not yet published. |
| Published | Shifts that have been published to the employee. |
Note: You can select more than one option. If you select none, the report shows all shifts.
Note: On an unassigned shift, the employee fields and Absent Status are empty. An unassigned shift is never counted as an absence.
Note: A shift group appears only if it has shifts in the selected period.
Roster fields you can use
| Field | What it shows |
|---|---|
| Shift Group Location | The location of the shift group the shift belongs to. This is different from the employee's own Location. A Regional Admin sees only their own locations as options. |
| On Call | Whether the shift is flagged On Call. As a filter, choose All, Yes or No. |
| Duty | The Duty on the shift. As a filter, you can also choose (No Duty) to find shifts with no Duty. Shifts with no Duty show a blank cell. |
Note: Each of these fields can be used as a selection criterion, a display field and a group-by field, in both the Roster Shift Group Report and the Roster vs. Actual Work section of Employee reports.
Note: Selection criteria are combined. If you pick a shift group and a Shift Group Location that do not match, the report shows no rows.
Chart types
When you add a chart to a grouped report, you choose a chart type and then a style.
| Type | Styles |
|---|---|
| Bar | Vertical or horizontal. With more than one measure, choose Grouped (side by side) or Stacked. |
| Pie | Pie or donut. A donut shows the total in the centre. |
| Line | Line or area. With more than one measure, each measure has its own line, and area can also be stacked. |
Note: Charts keep their legend, tooltips, export options and display in dashboard widgets. Existing bar and pie charts work as before.
Split the last group-by field into series
When a report is grouped by two or more fields, bar and line charts can show the last group-by field as separate series, the way spreadsheet tools do. For example, grouping by Shift Group and then Shift Status shows one bar per shift group, split into Unassigned, Assigned and Published.
Step 1 - Group the report by two or more fields.
Step 2 - Add a bar or line chart.
Step 3 - Leave Pivot the last Group By field into separate series ticked. It is ticked by default for new charts.
Step 4 - For a bar chart, choose Stacked or Grouped. Stacked is the default.
Note: When this option is ticked, you cannot add more than one measure to the chart.
Note: The option affects the chart only. The report table still shows one row for each combination of group-by values.
Note: Charts created before this change keep their existing look; the option is unticked for them.
Role-Based Access
This report gives no new access. Admins see the shift groups in the locations they manage, and Shift Managers see the shift groups they manage.
