From version 8.3 onwards, you can give a shift a Duty to show the specific task the employee does on that shift, for example Triage or Front Desk. You create the list of Duties once, choose which shift groups can use each one, and then pick a Duty when you add or edit a shift.
Add a Duty
Step 1 - Go to Roster > Configuration > Duties. The list of Duties opens.
Step 2 - Click Add Duty.
Step 3 - Enter the Duty Name, up to 50 characters.
Step 4 - Select the Shift Groups that can use this Duty.
Step 5 - Click Save. The Duty appears in the list.
Note: For a Global Admin, all shift groups are selected by default and shown as All Shift Groups. If you keep this, the Duty is also available to shift groups created later. A Regional Admin starts with nothing selected and sees only shift groups in their locations.
Edit a Duty
Step 1 - Click the pencil icon on the Duty's row.
Step 2 - Change the name or the shift groups.
Step 3 - Click Save.
Note: If you remove a shift group from a Duty that is already on shifts, a confirmation appears. Existing shifts keep their Duty.
Delete or restore a Duty
Step 1 - Click the bin icon on the Duty's row, or tick several Duties and click Delete Selected.
Step 2 - Confirm the deletion.
Note: A Duty that is on any shift, past or future, cannot be deleted. A message shows how many shifts use it.
To bring back a deleted Duty, click Add and enter exactly the same name. A message asks whether to restore it, and the Save button changes to Restore. Click Restore. The Duty uses the shift groups shown on the form, not the ones it had before.
Give a shift a Duty
Step 1 - Open the Add Shift or Edit Shift window.
Step 2 - Select a Duty in the Duty field.
Step 3 - Click Save.
Note: When you copy a weekly schedule or create shifts in bulk, the new shifts keep the Duty of the shifts they are created from.
Where Duties appear
| Place | What is shown |
|---|---|
| Weekly roster | A badge with the Duty name on the shift. Long names are shortened; hover to see the full name. Shifts with no Duty show no badge. |
| Monthly roster and print view | Duties are not shown. |
| Shift swap windows | The Duty name on each shift, so employees know what they are swapping into. |
| Reports | A Duty field in roster reports. See "How to Create a Roster Shift Group Report". |
| Audit Trail | A Duty section recording when Duties are added, updated, restored or deleted. |
Note: Anyone who can see a shift can see its Duty, including employees viewing their own published shifts.
Role-Based Access
