Advanced Employee Search has a Performance Reviews group of filters, so you can find employees by the state of their reviews and by review period.
Step 1 - Click the filter button above the employee list. The Advanced Employee Search window opens.
Step 2 - Select one or more statuses in Having Review Status: Overdue, Upcoming, Submitted or All Evaluators Submitted.
Note: When you use Having Review Status and Review Period Falls On together, an employee is found only if the same review matches both: it has the selected status and its period includes the selected date.
Note: The option All Evaluators Submitted finds the same reviews that show as Completed in the Reviews dropdown. Only the filter uses the new name.
Note: Selecting Employees With No Reviews clears and greys out Having Review Status and Review Period Falls On, because they cannot be used together. Clearing the checkbox makes them available again, but your earlier selections are not restored.
Step 3 - Choose Any Evaluator or Me as Evaluator in Match Review Status Against. This option appears once you select a status.
Step 4 - Select a date in Review Period Falls On to see only employees with a review whose period includes that date.
Step 5 - Select any other filters you need, such as Sub Unit, Include Employees, Job Title or Employment Status.
Step 6 - Click Search. The employee list shows only the employees who match.
What each Having Review Status option finds
| Option | An employee is found when one of their reviews… |
|---|---|
| Overdue | has an evaluator who has not submitted, and the submission due date has passed. |
| Upcoming | has an evaluator who has not submitted, and the submission due date has not passed. |
| Submitted | has at least one evaluator who has submitted and at least one who has not. |
| All Evaluators Submitted | has every evaluator submitted. |
Note: An employee is never listed as the manager for their own review.
Note: Changing a manager evaluator later applies to that review only, never to the template.
Note: A review takes its own copy of the template's questions at the moment it is created.
Match Review Status Against
| Option | What counts |
|---|---|
| Any Evaluator (default) | Any evaluator on the review counts, including evaluators other than you. Everyone who searches gets the same result. |
| Me as Evaluator | Only your own evaluation counts. Reviews you do not evaluate are ignored. |
Note: Click Reset to clear all filters, including Review Period Falls On.
The review period end must be after the review period start, and the submission due date must be on or after the review period end. The evaluator fields appear only after you choose a template, because the template decides who evaluates. If no manager can be found, the Manager field is left blank with a message explaining why, for example “No head of department found for the employee’s subunit. Please select a manager manually.” Choose someone before saving. You are asked to confirm before a review is deleted. A Head of Department cannot delete a review once either evaluation has been submitted, while an Admin can delete reviews within their scope at any point. Deleting a review does not stop the review plan from creating future ones. Supervisors can open their subordinates’ reviews to read them, but they do not see the Create Performance Review, delete or Reassign Evaluator options.
Visual Indicators & Statuses
Employees in the list carry a badge showing the most urgent state among their reviews. Only one badge is shown per employee, for the highest-priority state.
| Badge | Meaning |
|---|---|
| Overdue | At least one review is past its due date and not submitted. More than one shows a count, for example Overdue (3). |
| Upcoming | At least one review is not yet due. Shows a count when there is more than one. |
| Needs Attention | A review has an automatically assigned manager evaluator that needs confirming or reassigning. |
| No badge | Everything is submitted or completed, or you cannot see that employee's reviews. |
The Reviews dropdown lists the employee's reviews with the review period and a status badge. The review needing attention soonest is selected for you: overdue first (oldest first), then upcoming (soonest first), then submitted and completed reviews (most recent period first).
Note: Where the review plan could not work out a manager evaluator and used the plan's default instead, the review is flagged as needing attention. Click Reassign Evaluator to choose someone else, or Confirm to accept the assigned evaluator. Either clears the flag.
