Every saved change for a Pay Policy is kept as a version, so you can see what the rules looked like in any period.
Step 1 - Open the pay policy and click Pay Policy Version History in the top navigation. The screen shows the number of versions found and a list with two columns, Event and Effective Date, with the newest effective date first.
Step 2 - To look at an older version, click the View icon on that row. The Edit Pay Policy screen opens with that version's settings and a snapshot indicator. Everything is read-only, and there is no Save button. Click Back to return to the version history.
Step 3 - To correct a version, click the Edit icon on that row. The Edit Pay Policy screen opens with that version's settings. You can change the Name, the Enable Working Day, Non-Working Day and Holiday Rules checkbox, the rules and all other sections. The Pay Period, First Pay Period Start Date and Version Effective Date are read-only. Click Save. In the Save Changes window:
- Event shows the version's current event name, which you can change.
- Effective Date shows the version's own date and cannot be changed.
- The window shows "This change will be saved into the version effective from {date}".
- If the version's effective date is today or earlier, the window also shows "This action will result in overwriting the existing policy version effective from {date}. If non-frozen sheets exist from this date, they will be recalculated."
Click Save Changes. The change is saved into the same version; no new version is created and the number of versions does not change. A success message is shown. Attendance sheets that are not frozen are recalculated from that version's effective date up to the next version's effective date. Later versions are not affected.
Example: A monthly pay policy has versions effective 2026-07-01 and 2026-08-01. If you correct a pay rate in the 2026-07-01 version, sheets from 2026-07-01 up to 2026-08-01 are recalculated. The 2026-08-01 version and the dates it covers are not affected.
Step 4 - To remove a future version you no longer need, click the Delete icon and confirm. The version is removed from the list, and the version before it continues to apply to the dates the deleted version would have covered. No attendance sheets are recalculated, because the deleted version never applied to any day. Attendance sheets already generated for those future dates follow the remaining version.
- Currently Effective = the version that applies to today's date.
- Future Effective = a version whose effective date is after today.
Which versions can be changed
- A version can be edited if its effective date is on or after the start date of the previous pay period. This covers the previous pay period's version, the current version and any future version, for Monthly, Weekly, Every Other Week and Semi-Monthly pay periods alike. Older versions show the View icon only.
- Only future versions can be deleted. The currently effective version and past versions cannot be deleted, and a pay policy always keeps at least one version.
- Only System Admins can edit or delete versions.
Example: Today is 2026-08-04. A monthly pay policy has the versions "Initial version" (2026-06-01), "Version 2" (2026-07-01), "Version 3" (2026-08-01, Currently Effective) and "Version 4" (2026-09-01, Future Effective). "Version 4" shows the edit and delete icons. "Version 3" and "Version 2" show the edit icon. "Initial version" shows the view icon only, because its date is before the previous pay period start date, 2026-07-01.
Employee Pay Policy Changes and History
If an employee's pay policy changes partway through a pay period, their attendance sheet is split into two Effective Windows. The new policy's pay codes, rounding, break and additional rules apply only from the change date onward. If the Job History record that triggered the change is later deleted, the prior policy's window is restored or extended accordingly.
Note: An employee's pay policy history is treated as a timeline when attendance is processed: each period uses the policy that applied at that time. The date an employee is assigned to a pay policy (set on the PIM Job tab) and the effective dates of that pay policy's versions both apply. For each day, the system uses the pay policy assigned to the employee on that day, in the version that was effective on that day.
