If you can't find an employee's appraisal in the appraisal list, it is usually being hidden by the default filters rather than missing. The list hides appraisals whose due date is more than 60 days in the past. It also shows current employees only. Change these filters and the appraisal will appear.
Why this happens
To keep the list short, Performance > Appraisals > Appraisal List (the Employee Appraisals screen) applies two filters by default:
- Hide Appraisals With Due Date Older Than 60 Days: this is selected by default, so any appraisal with a Due Date more than 60 days before today is hidden. This is the most common reason an older or overdue appraisal "disappears".
- Include: Current Employees Only: appraisals for employees who have left the organization are hidden.
The appraisal still exists. It just doesn't match the filters.
How to show the hidden appraisal
Step 1 - Go to Performance > Appraisals > Appraisal List.
Step 2 - Click the Filter icon to open Filter Appraisals By.
Step 3 - Clear the Hide Appraisals With Due Date Older Than checkbox. Or keep it selected and enter a larger number of days.
Step 4 - If the employee has left, set Include to Current and Past Employees or Past Employees Only.
Step 5 - Optionally, enter the Employee Name to narrow the results.
Step 6 - Click Search.
To keep these settings each time you open the list, select Make Filter Default before you click Search.
Things to note
- Clicking the reset button in the top-right corner returns the list to the default view, including the 60-day filter.
- Other filters, such as Appraisal Cycle, Appraisal Status or From/To dates, can also hide an appraisal. Check them if it still doesn't appear.
- Which appraisals a supervisor can see also depends on their reporting relationship with the employee and their user role permissions. If the filters are cleared and the appraisal is still missing, ask your HR administrator to check the employee's supervisor assignment.
- An indirect supervisor can view an appraisal but cannot evaluate or rate it.
