The Employment Details tab always shows the employee's job record as of today. If you extend a contract but the old Contract End Date is still showing there, the change is probably not effective yet, or the old end date was never actually removed. To fix it, update the date on Employment Details directly. Use the date picker's Clear button to remove the old date, then enter the new one, or leave it blank if the contract no longer has an end date.
How it works
An employee's Job tab has two parts:
- Employment Details shows the current values, such as Job Title, Employment Status and the contract dates.
- Job History lists every change with its Event and effective date.
Each time you save on Employment Details, the system asks you to choose an Event and a Changes Effective From date. A change appears in Job History straight away, but Employment Details only reflects it once its effective date is reached. An extension usually appears in Job History but not on Employment Details for one of these reasons:
- The Changes Effective From date is in the future. Employment Details will update on that date.
- The old date was never removed from the Contract End Date field before saving.
How to update or clear the contract end date
Step 1 - Go to Employee Management > Employee List and open the employee.
Step 2 - Open the Job tab and stay on Employment Details.
Step 3 - Make sure Has Contract Details is switched on so the contract fields are visible.
Step 4 - Click the calendar icon next to Contract End Date and click Clear to remove the current date.
To set a new end date, pick it from the calendar. If the contract is now open-ended, leave the field blank.
Click Save. In Confirm Changes, select the Event and set Changes Effective From to today or the date the extension starts. Then confirm.
Check that Employment Details shows the new value. If you chose a future effective date, it will show from that date.
Things to note
- The contract end date must be after the Contract Start Date.
- If a history record has the wrong date or value, you can correct or delete it in Job History, provided you have permission.
- To see what Employment Details looked like on a past date, use the snapshot option on the Job tab.
- You need edit permission for the employee's Job details to make these changes.
