When a template section uses custom competencies, you choose them from a list grouped by their parent competency group, search by name, and see everything you have chosen in one place. You can also set each competency's weight and decide which evaluators rate it.
Adding Competencies and Setting Weights
Step 1 - Go to Performance > Configuration > Appraisal > Templates, then click + to create a template, or open an existing one.
Step 2 - Enter the template details and go to the form design.
Step 3 - Add a new section, or click Edit Section on an existing template.
Step 4 - Tick the Competencies checkbox. If the section should also include questions, tick Questions. Select Custom for each. Click Save.
Step 5 - Two tabs appear below the section settings: Competencies and Questions. The Competencies tab opens first. If only Questions is ticked, you see the Questions tab only.
The Competencies tab shows a panel with a weight indicator at the top right and a round + button to add competencies. Until you add any, the panel shows "No competencies yet".
Step 6 - Click the + Add Competencies button. A window opens with a search box and the list of competencies grouped by parent group.
Step 7 - Type in the search box. The list narrows by competency name or group name as you type. Searching for a competency shows it with its group name. Searching for a group shows the group and all competencies in it.
Step 8 - Tick the checkbox beside each competency you want. Ticking a group's checkbox selects every competency in that group.
Step 9 - Click Save. This button becomes active once at least one competency is ticked.
Your choices now appear in the panel under SELECTED ([count]). They are grouped under their parent group, with a count for each group, and every competency shows its group name beneath it.
Step 11 - Set each competency's weight by dragging its slider or typing a percentage in the box beside it. The slider and the box stay in step. A new competency starts at 0%.
Step 12 - To distribute the weightage equally for selected competencies, click the DISTRIBUTE EVENLY button on the top right side.
Step 13 - Watch the weight indicator at the top right of the panel. It shows how much you have allocated and how much is left. The weights should add up to 100%, and the total must not go over 100%.
Step 14 - To remove one competency, click the x beside it. To remove a whole group, click the delete icon on the group (tooltip: Remove Competency Group).
Step 15 - To add more later, click + again. Competencies you already chose are ticked. Untick any you no longer want, or tick new ones.
Step 16 - Click Save to save the section.
Note: Questions in a section that uses the Custom option now appear on their own Questions tab. How questions work has not changed.
Note: After an appraisal has been created, you see the same layout under Appraisal List > [Appraisal] > Form Design > Edit Section.
Choosing Who Evaluates Each Competency
Next to the weight of each selected competency, an Evaluated By list lets you choose which evaluators rate that competency. Self, Peer, and Main Evaluator reviews then show only the competencies assigned to them. The list shows the evaluator groups set up in your system, plus an All option.
Step 1 - Open the Competencies tab and add your competencies as described above. Each new competency starts with All selected.
Step 2 - Open the Evaluated By list for a competency and tick or untick the evaluator groups you want.
Step 3 - Click Save to save the section.
When an appraisal is created from the template, each competency keeps its evaluator choices. During the evaluation, every evaluator sees only the competencies assigned to them, in both the single view and the multiple view.
Note: You cannot untick the evaluator group that is set as the Final Rating Source in your global configuration.
Note: If a competency has All selected and your global evaluator groups change later, the change applies to it automatically. If the competency has specific groups selected, newly added groups are not switched on for it.
Example: Linda's template has two competencies — Community Management (Evaluated By: All) and Content Creation (Evaluated By: Main Evaluator only). Mike is the Main Evaluator and Linda is the Self Evaluator. Mike sees and rates both competencies; Linda sees and rates only Community Management. The final rating for both is calculated from Mike's ratings.
Changing Evaluators After an Appraisal Has Started
Each competency shows its selected evaluators. Change them as needed — changes take effect straight away in the appraisal.
If you turn an evaluator off for a competency, it disappears for that evaluator. If you turn the evaluator back on, it returns along with any rating and comments they entered earlier. If an evaluator group is removed from your global evaluator settings, competencies that were already rated still appear in the appraisal, but that group no longer appears on the competency edit screen until it is turned back on.
