When an employee is terminated, OrangeHRM disables their user account. Reactivating their employment does not turn the account back on. Email notifications are only sent to employees who are active and have an enabled user account. So until an admin re-enables the account, the person stops receiving notifications, even though they are still on the subscriber list.
Why this happens
Before sending a notification, OrangeHRM checks every employee on the recipient list. An employee is skipped if any of these apply:
- The employee is terminated.
- The employee has no user account, or their user account is disabled or deleted.
- The employee has no work email or other email on their profile.
Terminating an employee disables their user account straight away. If you terminate someone by mistake, or they later return, Activate Employment restores their employment but leaves the user account disabled. Until the account is enabled again, the person stops receiving every notification they are subscribed to. This includes date-based reminders such as End of Employment Contract Notification and performance notifications.
How to restore notifications
Step 1 - Go to HR Administration > Users and click Filter.
Step 2 - Enter the employee's name, set Status to Disabled or All, and search.
Step 3 - Click Edit on their user account, change the status to Enabled, and save.
Step 4 - Open the employee's profile and make sure their work email or other email is filled in.
Step 5 - Go to HR Administration > Configuration > Email Notifications. Open the notifications they should receive and check that they are still on the subscriber list, either by name or through a role they hold.
Step 6 - If the employment has not been reactivated yet, open the employee's profile, go to the Job section and click Activate Employment.
Things to note
- Notifications that came due while the account was disabled are not sent again later. Check reminders you may have missed in that period, such as upcoming contract end dates, using a report.
- If the person was added back as a new employee record instead of being reactivated, subscriptions that named them still point to the old record. Add the new record as a subscriber.
- Re-enabling the user account also gives the person back their login access, using their existing user role.
