Terminating an employee does not close or remove their appraisals. If a review or probation appraisal for someone who has left is still waiting for you to review, sign or acknowledge it, it keeps showing in your My Actions widget. To clear it, finish the appraisal or ask an HR administrator to delete it.
Why this happens
The My Actions widget on your dashboard lists every appraisal where you are an evaluator and still have an action to take. This list is not filtered by employment status. It includes appraisals for past employees as well as current ones.
- Terminating an employee leaves their appraisals unchanged, including appraisals created automatically, such as probation or anniversary reviews.
- Closing an appraisal cycle does not complete the appraisals inside it. Appraisals that weren't completed stay in their current status.
So an appraisal that was still open when the employee left stays on your to-do list until someone deals with it.
What you can do
As the evaluator
Step 1 - Click the item in My Actions, or go to Performance > Appraisals > Appraisal List.
Step 2 - Click the Filter icon. Set Include to Past Employees Only and clear Hide Appraisals With Due Date Older Than, then click Search.
Step 3 - Open each appraisal and either complete and submit your part, or ask your HR administrator to remove it.
As an HR administrator
Step 1 - Go to Performance > Appraisals > Appraisal List and filter for past employees as above.
Step 2 - Select the appraisals that are no longer needed, click the ... menu and choose Delete Selected. Then confirm.
Once the appraisal is completed or deleted, it no longer appears in My Actions.
Things to note
- Deleting an appraisal is permanent. If you need a record of it, download it first using the download option in the appraisal list.
- Only users with delete permission for employee appraisals see Delete Selected.
- You can also hide pending appraisal reviews from the widget using its configuration icon, or switch between the summary and individual views. This hides the reminders for all appraisals, not just those of past employees.
- To stop more appraisals being created for people who have left, ask your HR administrator to review the automatic appraisal schedule and its rules.
